Managing Senior Finance recruitment across the Thames Valley & South
We are looking to recruit a Payroll and Benefits Co-ordinator to support the processing of UK and international payrolls for c.350 employees in total, with our outsourced global provider and other third parties. This role also coordinates monthly benefits processes, other payroll related activities, and contributes to wider HR team activities and projects as required.
Key Responsibilities & Accountabilities
* Coordinate the end-to-end process across all payrolls; UK, Dubai, Spain, Italy, Sweden, & Ireland with the outsourced global provider, and for China with the local provider. Monthly process will include; Working with the HR Ops team to ensure that all changes due to be included in that month's payroll are on Workday so information flows through the integrated solution.
* Collating any other changes that won’t be transferred via the integration, to be submitted directly on the payroll provider portal.
* Making pre-calculations for starters and leavers, variable changes, pension requests, one-off payments, and ad hoc changes, to aid in the review process.
* Review output reports provided by payroll provider and liaising with them to ensure the appropriate amendments are made until ready to commit each country payroll.
* Pro-rated calculations for starters, leavers and any other changes
* SMP, OMP, SPP and any other statutory rates and amounts
* One-time payments and ad hoc elements
* Pro-rated BIK amounts for starters and leavers
* Employee and Employer pension changes
* Provide relevant supporting documents to aid sign off by Head of HR Operations of each payroll prior to commit date
* Liaise with the internal Finance team on funding of payrolls as well as reporting and analysis post pay day
* Process payslip upload for China as the only country where payslips updated through the integrated solution
* Build and maintain strong working relationships with all external providers as well as internal stakeholders and teams
* Coordinate all year end processes with the global payroll providers
* Process the monthly pension scheme for the UK
* Process the monthly pension for the International Pension Scheme
* Liaise with Finance and Legal to manage the PSA
* Coordinate the salary sacrifice Electric Car Scheme and Cycle to Work Scheme
* Serve as the first point of contact on all employee queries related to payroll, pensions etc.
Additional Payroll Related tasks:
* Submit all required ONS surveys monthly / quarterly as needed
* Assist the internal Finance team with audit and statutory submissions where required
* Review mileage rates periodically to assist the Finance team update the Travel Policy and Expenses Policy as required
* Assist in the submission of A1s and Frontier Worker Permits for Non-UK employees as required
* Assist with Gender Pay Gap reporting each year
* Maintain pension & benefits information on Workday as required so it matches payroll
* Benefits Administration:
* Coordinate the monthly administration of all benefits schemes across the UK and internationally, including Private Medical Insurance, Life Assurance and Income Protection
* Liaise with the relevant broker(s) for starter and leaver changes, updating all records and actioning relevant changes on payroll accordingly
* Communicate information about the benefits we offer to employees at the point they become eligible
* Assist in the Benefits Renewal each year, coordinating relevant payroll and Workday actions accordingly
* Promote the benefits we have to employees, so they get the most out of their memberships
* Be the first point of contact for all employee queries
Knowledge & Skills & Experience
* A minimum of 3 years payroll processing experience
* Good knowledge of UK payroll legislation
* Exposure to APAC or EMEA payrolls would be desirable
* Workday experience would be beneficial
* Highest level of attention to detail
* Excellent written and verbal communication skills
* Time management and prioritisation skills
* CIPP or CIPD Qualification is desirable but not essential
