The Role
As a Systems Project Coordinator at Windsor Solutions, you will play a vital role in driving projects that support and enhance environmental outcomes. This contract position with the potential for permanent hire offers the chance to work on transformative initiatives with environmental agencies. You’ll serve as the main liaison between client stakeholders and our implementation team, ensuring clear communication, effective decision-making, and seamless issue resolution throughout the project lifecycle. You will drive project tasks forward, ensuring that client requirements are fully captured and successfully delivered, particularly in the areas of design, system configuration, data conversion, user acceptance, and implementation.
What You’ll Do
* Program Liaison & Communication
Serve as the primary point of contact (in collaboration with Windsor Lead) for all program configuration and data conversion issues during migration and implementation. You’ll gather and document business requirements, analyze existing systems and processes for improvement, and facilitate client meetings to advocate for solutions. You'll work closely with software developers and vendors to troubleshoot issues and ensure the system aligns with client needs. You’ll attend all relevant meetings to keep stakeholders informed, ensure timely decisions, and track progress with Windsor’s internal teams.
* System Proficiency & Support
Develop and maintain deep proficiency in Windsor’s core software, helping both clients and program staff understand system capabilities and guiding them through transitions from legacy systems.
* Testing & Quality Assurance
Lead the development of test scripts to validate system configurations and migration processes. You’ll oversee and coordinate the execution of User Acceptance Testing (UAT), verifying that the system meets all client requirements and addressing any defects or issues identified during testing.
* Documentation & Standardization
Create and maintain comprehensive documentation for system configurations, processes, user manuals, and training materials. You will ensure that meeting notes, decisions, and action items are clearly captured and distributed to relevant stakeholders, promoting effective follow-up and implementation. If needed, you will help develop Desk Guides that explain how specific programs will utilize the new software post-migration.
* Training
Plan, design, and deliver training sessions to end-users, client staff, and stakeholders, ensuring effective system adoption and ongoing use.
* Project Support & Prioritization
Collaborate with Windsor Leads and the Project Manager to prioritize tasks related to migration and implementation efforts. Assist the Project Manager in tracking progress, identifying potential roadblocks, and ensuring that tasks are completed on time.
What You Bring
* Qualifications
o Bachelor’s degree in Information Technology, Computer Science, Business Administration, or a related field, or equivalent practical experience.
o 5 years of experience in project support, coordination, or administration in IT environments, particularly with system migrations or implementations.
o Experience with nVIRO software or similar environmental management systems is highly desirable.
o Strong organizational skills with the ability to manage multiple priorities.
o Excellent written and verbal communication skills, capable of articulating technical concepts to non-technical stakeholders.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Jira).
o Familiarity with UAT processes and data migration validation is a plus.
* Travel
This role requires 10% travel to Augusta, Maine based on project needs.
