What you will be doing:
The PA will provide professional, proactive, high-level support to members of the PPL Executive team. Reporting to PPL’s General Counsel, the role also supports the Director of Music Industry Engagement, Chief Licensing Officer, Chief Information Officer, and Director of Communications.
This role requires close collaboration with other PAs. While working within established rules and processes, the PA will need to use their own initiative to ensure the smooth operation of the office, completing tasks and projects proactively, promptly, and efficiently.
The role involves working collaboratively across the organization at all levels, including the Executive Management Team, Heads of Department, and Senior Managers, as well as with external stakeholders such as members, licensees, industry contacts, law firms, and suppliers. Adaptability in communication style is essential.
Key Responsibilities Include:
* Act as the first point of contact, answering emails professionally and efficiently, ensuring excellent customer service.
* Represent PPL professionally when greeting external guests.
* Manage extensive diaries, arranging meetings with senior industry figures, trade bodies, and counterparts at PRS and PPL PRS.
* Organize meals and travel arrangements, including international trips, sourcing flights and hotels within budget, booking restaurants, and arranging visas and currency as needed.
* Prepare detailed expense claims using the Workday finance system, including mileage, receipts, and VAT documentation.
* Assist internal teams such as finance, facilities, and IT to ensure excellent service delivery.
* Maintain an electronic filing system, ensuring all documents are correctly saved, filed, and dated, including papers for PPL’s boards.
* Prepare materials for PPL, VPL, and Performer Board meetings, including draft agendas and scheduling future items.
What you’ll need:
* Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
* Experience supporting executive members
* Proactive, organized, and adaptable approach
