The Family & Specialist Services Divisional Leadership Team are pleased to offer an exciting opportunity for a 6-month internal secondment to the role of Personal Assistant for Family & Specialist Services.
The post holder will ensure that necessary systems are in place to provide a responsive and efficient administrative, personal assistant and secretarial service to the senior Family and Specialist Services Divisional management team using their reason, intellect and judgement to manage own workload, make decisions and proactively deal with issues without reference to others.
It is essential that the post holder undertakes the extensive duties with flexibility, initiative and enthusiasm and operates as an integral part of the Management team.
Main duties of the job
Provide a high quality confidential and comprehensive Personal Assistant service to the Divisional Director, Divisional Director of Operations, Divisional Director of Nursing and Director of Midwifery & Neonates in support of their extensive responsibilities.
Act as a professional representative of the Division, reflecting the Trust's values.
Independently action documents for the Divisional Director, Divisional Director of Operations, Divisional Director of Nursing and Director of Midwifery & Neonates, use analytical skills to draft letters and reports, ensure deadlines are met, follow up actions, prepare briefing drafts all to timescale.
Act as a central point of contact for the Divisional Director, Divisional Director of Operations, Divisional Director of Nursing and Director of Midwifery & Neonates for external and internal callers, making judgements regarding appropriate dissemination of key information.
Ensure that flow of information between colleagues/departments/external organisations is maintained.
Communicate and co-ordinate with hospital staff at all levels to deliver an effective and integrated service in support of the Trust objectives.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
