Job Summary
We are looking to recruit an Upper Limb Education MDT Course Administrator to work 37.5 hours per week. This role is a 12‑month secondment that could potentially become permanent. Please discuss with your line manager or Directorate Manager / DDOP to obtain secondment approval. The position provides temporary cover during organisational change and may transition to permanent.
Main duties of the job
* Administrative support for National Joint Registry
* Coordinate the Elbow Network in the Northwest and provide reports
* Organise internal upper limb medical education courses and meetings
* Organise upper limb MDT meetings twice weekly, yearly morbidity and mortality and three‑monthly upper limb audit meetings, ensuring all disciplines attend
* Organise North West Regional MDT meetings, distribute agendas, take minutes and share outcomes
* Collate and distribute sensitive and confidential agendas, inform MDT of frequent changes, and distribute minutes and outcomes
* Manage Bone and Joint Infection Registry (BAJIR) reporting
* Update daily course information on LinkedIn, Facebook & X
* Accept and process enquiries received by post, email, telephone and forward to relevant department
* Act on information passed by education courses administrator/manager

Job responsibilities
The Job Overview includes:
* Provide efficient and accurate administrative support to the upper limb education course administrator manager
* Organise internal upper limb medical education courses and coordinate upper limb & elbow regional network MDT meetings
* Provide clerical support to the education course manager to maintain financial status of the upper limb education budget, produce timely financial reports
* Setup and maintain accurate, timely and legible finance records for each course
* Receive and process course transaction fees via WorldPay, reconcile and report transactions from WorldPay Card system
* Daily reconciliation according to Trust receipting and remittance policy
* Maintain and monitor upper limb course finances
* Raise invoices and requisitions via Oracle system
Additional Duties
* Plan and organise the upper limb North West Regional MDT network meetings
* Advertise courses and events via social media and emails, daily course information updates on LinkedIn, Facebook & X
* Research internal and external courses and large upper limb meeting dates, avoiding clashes with Wrightington courses
* Arrange faculty accommodation, meeting rooms, catering, AV technicians, lab equipment ahead of course dates
* Communicate with consultants, outside agencies and all disciplines within the Trust, maintaining good working relationships
* Accept and process enquiries received by post, email, telephone, prioritise and distribute using judgement
* Produce and distribute course programmes/timetables and all related information
* Contribute effectively to the team, flexible in working practice, re‑prioritise workload when required
* Disseminate information between all levels of personnel via formal meetings, Microsoft Teams, email, written and verbal communication
* Communicate and understand cultural or language differences
* Identify cost improvements within the department
Person Specification
Essential Qualifications
* Good standard of education including GCSEs or equivalent
* ECDL or equivalent
Desirable Qualifications
* RSA 2/3
* AMSPAR qualification
* NVQ 2/3
Essential Experience
* Previous admin experience within NHS
* Previous experience of working within a multi‑disciplinary team
* Experience of diary management, bookings, courses, meetings and events
* ECDL or equivalent NVQ 2/3 administration experience
Desirable Experience
* Experience in a fast‑paced environment
* Knowledge of finance reporting or similar experience
* AMSPAR or equivalent, knowledge of medical terminology
