Admin & Clerical Support Worker – Walsall Council
Provide comprehensive clerical first point of contact for a fast‑paced Paediatric Phlebotomy outpatient clinic as part of the Paediatrics Care Group.
Responsibilities
* Provide a comprehensive clerical first point of contact for a fast‑paced Paediatric Phlebotomy outpatient clinic, engaging with patients, Trust staff and external agencies.
* Assist all services areas within the Phlebotomy Department outpatient service, handling booking, receiving patients, answering phone enquiries, and sorting post.
* Perform general reception duties, dealing with the public and patients in a tactful and courteous manner, especially when cultural, language or physical needs arise.
* Maintain confidentiality when receiving and sharing sensitive patient information.
* Answer the telephone in a timely manner and deal with callers courteously and efficiently.
* Book appointments for patients and relay complex, sensitive information to clinicians, GP surgeries and other healthcare professionals in line with departmental policies and the Data Protection Act.
* Accurately check and record patient details on patient record systems, highlighting and investigating discrepancies.
* Ensure relevant stationery and pathology consumable supplies are available for departmental operation in liaison with Care Group Management.
* Adhere to the Trust’s complaints procedure, using appropriate referral mechanisms to resolve situations.
* Work independently when required, forming effective communication with colleagues and departmental staff to ensure the smooth completion of duties.
* Suggest and implement improvements to services and exercise professional responsibility in an open, no‑blame culture.
* Participate in necessary training programmes to maintain up‑to‑date knowledge of work procedures and practices within the Care Group and Trust.
Qualifications
* Previous clerical or reception experience, preferably in a healthcare setting.
* Strong verbal and written communication skills, with the ability to handle cultural, language and sensitive patient enquiries.
* Competent understanding of confidentiality requirements and the Data Protection Act.
* Ability to multitask, organise appointments and manage telephone calls efficiently.
* Proactive initiative and willingness to work independently.
* Commitment to continuous improvement and teamwork within a multidisciplinary environment.
