The Secretarial post is in our Emergency Department to provide a Comprehensive and Quality Medical Secretarial Service to Consultants and their teams.
You will provide administrative support as well as be involved in the day to day work for the Consultants. You should be enthusiastic, motivated and have good organisational and communication skills. Excellent computer and audio-typing skills are also required.
Main duties of the job
- To provide a Medical Secretarial Service within the Directorate. To undertake accurate audio/copy typing (including digital) of medical correspondence and general administration for the Consultants and their Teams. This will include highly sensitive and complex medical terminology with a need for confidentiality.
- To manage clinics ensuring patient numbers match the staff available.
- To work to the agreed standards and templates for each Specialty/Department
- To receive and open Consultant/medical staff’s mail, to action routine/non-routine and urgent correspondence and drawing the necessary items to the attention of the person concerned.
- To ensure that the departmental transcription workload is prioritised and maintained within time standards.
- To provide updates to the cancer & general management team when requested.

Skills, Abilities & Knowledge
Essential criteria
1. Knowledge of Microsoft Office products
2. Good written and telephone communication skills, to enable liaison with staff at all levels
3. Ability to organize and prioritise busy workload
4. Happy to work as part of a team
5. Ability to cover the duties of other Secretarial staff within the Department
Desirable criteria
6. Knowledge of Data Protection Act, 1998 and other Trust Policies and Procedures
7. Knowledge of Trust Information System, e.g. CRS
Experience
Essential criteria
8. Experience of working within busy office environment
9. Experience of word processing
10. Experience of audio-typing
11. Ability to work with highly confidential data, and to maintain patient confidentiality
Desirable criteria
12. Experience of working within The NHS, General Practice or Private Sector
Education, Qualifications & Training
Desirable criteria
13. GCSE Grade C, or above/equivalent in English Language
14. RSA II Typing, or equivalent
15. Medical Terminology Course, or ability to demonstrate equivalent ability
Special Circumstances

16. Willing to travel between the three hospital sites within the Trust
