HR Coordinator ๐Ÿง‘โ€๐Ÿ’ผ๐Ÿ“‹

(Part-Time Role โ€“ 4 days per week, 10:00amโ€“3:00pm)

Role Purpose ๐ŸŽฏ

To provide accurate, efficient and proactive HR administration across the full employee lifecycle, supporting managers and employees while ensuring HR data, systems and processes are kept up to date and compliant โœ…

Working Pattern โฐ

This is a part-time position, working 4 days per week, 10:00amโ€“3:00pm.

Key Responsibilities ๐Ÿ› ๏ธ

Joiners / Movers / Leavers ๐Ÿ”„

โ€ข Manage all HR administration for new starters, internal moves and leavers ๐Ÿงพ

โ€ข Prepare contracts, offer letters, contract changes and leaver documentation โœ๏ธ๐Ÿ“„

โ€ข Coordinate onboarding including background and right-to-work checks, inductions and system access ๐Ÿ†”๐Ÿ’ป

โ€ข Ensure smooth offboarding including exit paperwork and final payroll instructions ๐Ÿ“ค

Payroll Support ๐Ÿ’ฐ

โ€ข Prepare and submit accurate payroll inputs (starters, leavers, salary changes, overtime, bonuses, statutory payments) ๐Ÿงฎ

โ€ข Act as liaison between HR and Payroll, resolving payroll queries efficiently ๐Ÿค

โ€ข Support monthly payroll cycles and audits ๐Ÿ“†

โ€ข Quarterly reconciliation of HR records against Payroll records ๐Ÿ”

HR Systems & Data ๐Ÿ’ป

โ€ข Maintain accurate employee records on the HR system (HRIS) ๐Ÿ—‚๏ธ

โ€ข Ensure data accuracy, GDPR compliance and confidentiality ๐Ÿ”

โ€ข Produce regular and ad-hoc HR reports using Excel, including: ๐Ÿ“Š

o Headcount ๐Ÿ‘ฅ

o Length of service โณ

o Turnover ๐Ÿ”

o Absence data ๐Ÿš‘

o Liaise with HRIS system provider for support and maintenance queries ๐Ÿ› ๏ธ

HR Administration & Support ๐Ÿ“‚

โ€ข First-line HR admin support for employees and managers, including minute taking during confidential and sensitive HR meetings ๐Ÿ“

โ€ข Manage HR secure shared files and email inboxe ๐Ÿ“ฅ

o Respond to routine HR queries ๐Ÿ’ฌ

โ€ขo First line support for routine benefit related requests ๐ŸŽ

โ€ข Maintain HR trackers, spreadsheets and personnel files ๐Ÿ—ƒ๏ธ

โ€ข Support absence, holiday and probation administration ๐ŸŒด

โ€ข First line support for routine benefit related queries ๐ŸŽซ

โ€ข Assist with performance review cycles and training administration ๐Ÿ“š

โ€ข Update organization chart ๐Ÿงฉ

โ€ข Act as liaison between HR and IT where appropriate ๐Ÿ’ผ๐Ÿ’ป

Compliance & Best Practice โš–๏ธ

โ€ข Ensure HR processes follow employment legislation and company policy ๐Ÿ“œ

โ€ข Support HR audits and internal reporting โœ”๏ธ

โ€ข Keep HR documentation and records up to date ๐Ÿ—„๏ธ

Skills & Experience ๐Ÿง 

Essential โœ…

โ€ข Previous experience in an HR Administrator / HR Coordinator role ๐Ÿ‘”

โ€ข Hands-on experience with joiners, movers and leavers ๐Ÿ”„

โ€ข Payroll administration experience or strong payroll exposure ๐Ÿ’ท

โ€ข Experience using HR systems and managing employee data ๐Ÿ’ป

โ€ข Strong Excel skills (reports, trackers, formulas) ๐Ÿ“Š

โ€ข High attention to detail and strong organisational skills ๐Ÿ”

Desirable โญ

โ€ข CIPD Level 3 (or working towards) ๐ŸŽ“

โ€ข Experience producing HR metrics (length of service, turnover, headcount) ๐Ÿ“ˆ

โ€ข Benefits administration experience ๐ŸŽ

โ€ข Basic knowledge of employment law โš–๏ธ
