Overview
Job Summary: The purpose of the role is to provide administrative and secretarial support to clinical staff and the practice team, assist patients and visitors, and facilitate communication between patients and the primary/secondary care teams. This is a part‑time role with shifts typically 8:00am–1:15pm and 1:00pm–6:30pm, with extended hours possible on Mondays (1:00pm–7:30pm) and select mid‑week mornings. The role generally involves a mix of morning and afternoon sessions.
Job Responsibilities
* Reception: greet patients, manage appointments and visits, direct callers to the appropriate healthcare professional, handle general enquiries, sign in visitors, and ensure the reception area is tidy.
* Telephone: answer and make calls professionally, take messages, and divert calls as required.
* Appointments: process today and future appointment requests from patients both in person and by telephone.
* Repeat Prescriptions: receive and process repeat prescription requests, liaise with patients and chemists, and ensure prescriptions are issued in line with practice protocols.
* Scanning and Coding: scan patient documents to the medical record, code clinical information as per practice protocol, and ensure timely processing (within 48–72 hours where applicable).
* Administration/Computing: provide clerical support, handle filing, photocopying, data entry, and maintain computer records (new registrations, changes of address, etc.).
* Other Tasks: carry out tasks assigned by partners or the Practice Manager and support practice procedures, including maintaining stock of notices and aiding in general office duties.
* Premises and Security: open/close duties, ensure rooms are prepared for surgeries, and maintain building security and tidiness of reception/areas.
* Confidentiality: handle patient information with strict confidentiality in line with practice policies and data protection requirements.
* Health & Safety: contribute to a safe working environment by following policies, reporting hazards, and maintaining cleanliness and infection control practices.
* Equality and Diversity: support rights and dignity of patients, carers and staff and maintain a respectful, non‑judgmental approach.
* Personal/Professional Development: participate in practice training and performance reviews, and pursue ongoing professional development.
* Quality and Communication: support quality initiatives, effective team communication, and collaboration with other agencies as needed.
* Service Implementation: contribute to applying practice policies, standards, and guidelines, and participate in audits where appropriate.
Required Qualifications & Experience
* Essential: Eligible to work in the UK; general secondary education to GCSE level or equivalent; ability to provide complete education/employment history; suitable appearance; good keyboard/computer skills; ability to work in a busy environment and as part of a team.
* Desirable: GCSEs (Maths & English) at grade C or above; receptionist or customer service qualification; experience in General Practice or NHS environment; EMIS Web experience.
