It starts with our people, which is why we need an HR Coordinator who will provide best in class administrative support for the People Services team to ensure excellence and best practice on all day-to-day administration processes, including, starters and onboarding, leavers, family leave, flexible working requests, secondments, sabbaticals, ER issues, cyclical processes such as promotions, salary and bonus reviews, NQ handovers and general administrative queries, for all Associates, Partners and Business Services Professionals. To work closely and support the HR Advisors and HR Business Partners. You’ll be responsible for: Employee Lifecycle Responsible for the employee lifecycle processes, with understanding of relevant procedures, policies and employment law. Involvement will include, but is not limited to, the following: New Joiners Liaise with key stakeholders including Recruitment Team, HR Business Partner Team, Office of General Counsel and Payroll to ensure new joiner pre-joining paperwork is complete, entered into relevant systems on a timely basis, right to work and qualification jurisdiction information is filed and entered into systems, and post onboarding tasks are organized, tracked and completed on a timely basis. Leavers Liaise with HR Business Partner Team, Benefits Team and Payroll to ensure leavers calculations for payroll deductions and payments are correctly processed. Ensure leavers paperwork is complete, details entered into systems in a timely manner. Assist with exit interviews, and where required, attend meetings and type up notes. Absence Management and Welfare Liaise with HR Business Partner Team, Payroll and external providers to ensure all correspondence for sickness, including group income protection claims are completed and filed correctly. Run monthly absence and sickness reports and share relevant date with HR Business Partner Team. Understand internal and external support available to staff and deal with welfare queries, referring up as appropriate. Ensure occupational health assessments are booked and attended and liaise with HR Business Partners to ensure relevant adjustments are put in place. Family Leave Ensure all correspondence and meetings for family leave and return from family leave are actioned in a timely manner. Ensure systems are updated promptly with leave dates. Be main point of contact for those on family leave. Advise on general queries in relation to family leave. Liaise with occupational health for pregnancy risk assessments. Secondments Ensure all correspondence is prepared and actioned in a timely manner. Liaise with key stakeholders to ensure everything is in place for secondment to commence. Update relevant systems. Liaise with HR Business Partner Team for extensions. Sabbaticals Ensure all correspondence is prepared and actioned in a timely manner. Update relevant systems. Liaise with Benefits and Payroll. Be main point of contact during sabbatical. Ensure return arrangements are processed in a timely manner. Flexible Working Liaise with HR Business Partner Team to arrange meetings, draft all correspondence, calculate new salary, holiday entitlement based on new FTE and update relevant systems promptly. Reporting/Data Management/Payroll Ensure all systems are updated in a timely manner with relevant changes for all processes. Adhere to ISO and GDPR regulations when creating personnel e-files and sharing of information. Ensure monthly payroll reports and correct and authorised by deadline. Run reports and monitor dates for long service awards. Reward & Benefits Assist with annual salary review and any regular salary audits by preparing required documentation. Ensure basic understanding of benefits available to be able to respond to benefit queries or refer as necessary. Monitor dates and co-ordinate baby gifts, maternity/paternity and wedding vouchers. Performance and Career Development Assist with the timely and accurate completion of appraisal forms appropriately. Provide information to staff on the process as requested. Attend some performance management meetings with Business Partners and take notes. General Support Provide prompt and appropriate response to emails, reference requests, general correspondence and telephone calls. Take minutes of meetings, as required, and type up attendance notes. Organise team meetings, circulate agenda and record action points. Assist with other departmental activities and projects as appropriate. Process invoices promptly and apply correct codes and descriptions. Follow data protection regulations when processing data. Support the team with any ad hoc requests as necessary.
