Xexos – Office Coordinator – Technology Solutions Leeds City Centre | Full-time

From IT hardware and software to workplace supplies and services, we support public sector, legal, retail, and corporate clients nationwide. Partnering with 400+ leading global brands, we pride ourselves on delivering exceptional service, value, and speed. The Role We're looking for an Office Coordinator to be the engine room of our sales and operations process at Xexos. You'll sit at the centre of our customer, supplier, sales, and finance interactions — making sure every order and office function runs smoothly from start to finish. This is a full-time role, perfect for someone who wants to be part of a growing business in a dynamic and supportive environment.

What You'll Do
• Manage the end-to-end sales order process — from quotation through to delivery.
• Liaise with suppliers to confirm stock, lead times, and pricing.
• Handle purchase & sales invoicing, ensuring accuracy and alignment with finance.
• Track and communicate ETAs & backorders to keep customers fully informed.
• Support the team with account creation and maintain accurate CRM/ERP records.
• Act as the first point of contact for order queries, resolving issues quickly.
• Collaborate with Sales and Finance to support quotations, reporting, and billing.
• Assist with day-to-day office coordination to keep operations running smoothly.
• Suggest process improvements to make us faster, smarter, and more customer-focused.

What You'll Bring
• Experience in office coordination, sales support, or customer service (ideally in technology, distribution, or B2B supply).
• Organised, detail-focused, and confident juggling multiple priorities.
• A strong communicator who builds great relationships with customers and suppliers.
• Proficient in Microsoft Office (Excel, Outlook, Word); CRM/ERP experience is a plus.
