Main duties of the job
Managing a team of receptionists to ensure cover at all times for 3 reception desks incorporating the new Surgical Centre. Producing a 4‑week rota, co‑ordinating annual leave, arranging ad hoc training, mandatory training and hosting Motiv8 appraisals for all team members. Acting as a super user for the new DCS hospital system and liaising with appropriate parties as a single point of contact with regard to any issues. Working as a team player, spotting issues before they arise, handling front‑desk enquiries, and participating in the monthly Leadership and Central Management Team Meetings.

Job responsibilities
* Manage a team of receptionists ensuring the rota is always up to date, considering annual leave, training, sickness etc.
* Authorise all annual leave, arrange and host Motiv8 appraisals in a timely manner.
* Produce a 4‑week rota for all staff on Teams.
* Act as DCS Super User and deal with any queries.
* Ensure all staff are up to date with mandatory training.
* Arrange training sessions, refer staff to social prescribing and occupational health if required.
* Participate in monthly Leadership Meetings.
* Provide an efficient reception service, greeting and booking in patients, dealing with the general public and assisting visitors, directing enquiries promptly.
* Provide a comprehensive clerical service, including retrieval, preparation and filing of patient information/data, arranging patient transport, booking in patients, and correspondence as required.
* Maintain systems and processes to ensure patient information/data is available, accurate and complete.
* Update patient information/data as required, locate and retrieve supplementary documentation, file reports and essential documents.
* Use required electronic systems for correspondence and clinic management.
* Maintain professional and constructive relationships within and across divisions and externally to improve services.
* Support patient screening processes in line with IPC guidance.
* Work as part of a team while being responsible for your colleagues.
