We are currently looking for an Office Administrator to join our office team.
The position is permanent and full time with an annual salary of £25,000 plus annual bonus, company pension, company sick pay scheme, 21 days holiday, increasing with length of service plus bank holidays.
JOB DESCRIPTION –
Working mainly in the office, the position involves general office administration.
MAIN DUTIES
Ordering
· Typing and sending office consumable orders to suppliers (e.g. stationery, clothing, cleaning materials)
· Typing and sending stock material orders to suppliers (e.g. bark mulch, timber, seed, postcrete, small tools etc)
· Updating and maintaining delivery board
· Maintaining supplier information & site information on Construct
Assisting Contract Support Administrators
· General office admin including responding to emails etc.
· Printing drawings, photos & emails
Vehicles
· Booking in vans for service/repair
· Booking in signwriting
· Booking in vehicle returns
· Booking in tracker visits
· Reviewing van inspection sheets
· Maintaining tracker system
Weekly Notes
· Photocopying weekly notes & drawings
· Distributing notes
· Texting lads
General Office Administration
· Answering telephone, transferring calls and taking messages
· Answering door and welcoming guests
· Filling in the company accident book
· Opening & distributing incoming post
· Franking & posting outgoing post
· Transferring documents between warehouse and office
· Filing
· Running basic errands for Managing Director
· Issuing clothing, PPE, fuel cards and keys to operatives
· Maintaining clothing & stationery cupboards
· General adhoc administration tasks
· Issuing mobile phones and dealing with upgrades etc
· Updating MD and CM with holiday bookings
· Maintaining coffee machines and ordering consumables
RESPONSIBILITIES
Office employees are expected to represent the Company to the best of their ability at all times and complete work to the high standards the Company expects.
Reporting to the Finance Director, office employees are expected to manage their own work load in order to meet deadlines.
HOURS OF WORK
Work pattern is Monday to Friday, 9am to 5pm. 30 minute unpaid lunch break
SKILLS & EXPERIENCE
The ideal candidate will have experience within an administrative role (preferably 2 years). Strong IT skills including Outlook, MS Word & MS Excel. Excellent attention to detail and high levels of accuracy. Well organised with excellent time management skills. Able to multitask effectively to meet varying deadlines.
Educated to GCSE level. Essential to have GCSE grade 5/C in Maths & English or above or equivalent
