Role Summary
As a HR Data and Systems Analyst you will support the Head of HR Operations & Integration by managing and improving HR systems, data and reporting processes. You’ll maintain the accuracy of global HR data, support local HR teams, contribute to ESG and DEI reporting, and drive system enhancements.
Key Responsibilities
* Support the Head of HR Ops & Integration in maintaining accurate, engaging, and people‑friendly digital HR processes throughout the employee lifecycle.
* Review and update workflows to ensure HR systems reflect a consistent and connected experience.
* Maintain and update system‑driven templates, forms, and guides aligned with Group policies.
* Collect and track employee feedback on HR systems from hiring, exit interviews, and engagement surveys.
* Take ownership of the monthly internal HR/People newsletter design, editing and distribution.
* Maintain a calendar of all significant HR communications and events.
* Support the coordination and administration of employee engagement surveys and create dashboards or visual summaries for stakeholders.
* Analyse survey results to feed into engagement plans and HR initiatives.
* Act as a support super‑user for HR systems: user access, configuration, troubleshooting and testing.
* Assist with system upgrades, integrations and rollouts to ensure a smooth user experience.
* Maintain documentation, FAQs and training resources for HR and employees.
* Monitor data accuracy and integrity across core HR, payroll, benefits, learning, ATS and other systems.
* Support initiatives to automate and streamline HR workflows.
* Support the creation of regular HR reports and dashboards covering headcount, turnover, diversity, learning and engagement metrics.
* Perform regular data audits, reconciliations and cleansing.
* Prepare monthly and quarterly reports for HR leadership, MDs and Board reviews.
* Identify trends and insights from HR data to support strategic decision‑making.
* Compile data into consistently branded reports for senior management.
* Support local HR administrators with day‑to‑day HR activities, including onboarding, induction, and managing employment changes.
* Track and manage HR documentation, contracts and records in compliance with GDPR and other data protection requirements.
* Assist with global onboarding, offboarding and immigration processes.
* Coordinate with regional or local HR teams to resolve data discrepancies.
* Support HR audits, maintain the risk register and related actions.
* Ensure GDPR and information security standards are met across HR data processes.
* Document and update HR policies, workflows and processes as required.
* Support M&A integration of new acquisitions into Group HR systems and processes.
* Assist with data validation and migration during integration phases.
* Maintain updating documentation post‑acquisition.
* Report investor‑related data and insights to the Head of HR Ops & Integration.
* Gather and report ESG, DEI and wellbeing data across initiatives.
* Maintain calendars of global inclusion and wellbeing events.
* Compile ESG and DEI metrics for leadership reports and external submissions.
* Gather data and content to support award entries and recognition for people and culture programmes.
* Support system improvement projects, migrations and automation initiatives.
* Participate in testing (UAT) and documentation of system updates or module rollouts.
* Communicate system or process changes across the HR community.
* Suggest ideas to enhance efficiency, data quality or user experience.
* Partner with local country HR, Talent Acquisition, L&D and C&B for system and data support.
* Manage vendor tickets, documentation and follow‑ups.
* Maintain records of contracts and system updates with external service providers.
Key Experience & Skills
* Strong curiosity about HR data and comfort working with spreadsheets or systems.
* Experience in a data, systems or analytics role.
* Hands‑on experience with an HRIS platform such as HiBob, Workday, SuccessFactors, BambooHR, Oracle, ADP or similar.
* Data analysis and reporting experience (Excel, Power BI, Tableau).
* Understanding of HR processes and the employee lifecycle.
* Familiarity with data privacy, compliance and ESG concepts preferred.
* Detail‑oriented, data‑driven mindset.
* Strong analytical, technical and problem‑solving skills.
* Ability to translate data into insights and actions.
* Passion for continuous improvement and employee experience.
* Excellent written and verbal communication skills.
* Excellent PowerPoint skills.
