Southview Medical Practice are looking to recruitan enthusiastic, motivated, smart, and organised medical secretary to join theteam at our busy G.P. Surgery.

Main duties of the job
We are looking for a someone who is motivated, happy to workwithin a Team and enjoys new challenges. You will receive on the job trainingin scanning documents, registration of new patients and managing medicalrecords along side your Secretarial duties involving referrals management.
NHS secretarial experience wouldbe desirable, however prior Secretarial experience is essential.

Job responsibilities
Daily tasks and referrals on EMIS our clinical software system
TWR checklist
Liaise with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
Manage all enquiries in an effective manner
Maintain an accurate referrals database
Main email inbox, answering queries, adding information to patients notes, tasking GPs where actions are needed
Scanning in paperwork for immediate action
Process referrals using the electronic referral system (ERS)
Buddy referrals
Collecting the post- dispensing the relevant paperwork to where needed
Being available for other staff members for advice on referrals
Smear check list- checking for appointments and when results come back
Blood requests/annual reviews messaging (nelly does a lot of this now)
Checking the Southview surgery inbox and forwarding clinic letters to docman.
Checking the docman inbox to make sure everything has been collected
Checking the basket of letters downstairs for dates
Process requests for information i.e., SAR, insurance/solicitors letters and DVLA forms
Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
Conduct clinical system searches as requested
Support all clinical staff with general administrative tasks as requested
* Maintain a clean, tidy, effective working area always
Be an integral part of the general practice team
Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on Safeguarding Adults and Safeguarding Children
Undertake all mandatory training and induction programmes
Contribute to and embrace the spectrum of clinical governance
Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed

Experience
* Communicate effectively with other team members
* Communicate effectively with patients and carers
* Recognize peoples needs for alternative methods of communication and respond accordingly.
* Have previous secretarial/PA experience
* Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development.
