Part-Time Utilities & Property Accounts Coordinator Job Overview We are looking for an organised, reliable and detail-focused part-time Utilities & Property Accounts Coordinator to support the management of utility accounts across multiple residential and commercial properties. The role involves monthly meter readings, utility account administration, tenant cost calculations, liaison with utility suppliers and property owners, and maintaining accurate records. This is ideal for someone who is highly organised, confident communicating with people, good with numbers and spreadsheets, and comfortable following up firmly but professionally. Key Responsibilities Utility Monitoring & Record Keeping Visit properties to carry out monthly gas, electricity and water meter readings Photograph and log meter readings accurately Maintain clear and organised utility records for each property Update spreadsheets and internal tracking systems monthly Identify discrepancies, unusual usage or missing information Utility Supplier Management Trace and identify current utility providers for each property Obtain current tariffs, standing charges and account information Research more cost-effective utility suppliers and tariffs Liaise with utility companies regarding account queries, transfers and billing Property Owner & Tenant Liaison Contact property owners regarding utility arrangements and permissions Request authorisation to switch suppliers where savings can be made Coordinate transferring utility accounts into company or tenant names where appropriate Communicate clearly and professionally with tenants regarding monthly charges Tenant Billing & Payment Follow-Up Calculate each tenant’s monthly utility share using comparative meter readings Prepare and send monthly utility emails/statements to tenants Follow up with tenants for proof of payment Maintain accurate payment records and flag overdue balances Ideal Candidate The ideal candidate will: Be highly organised and detail-oriented Be comfortable working independently Have strong administrative skills Be confident using Excel or Google Sheets Have good written and verbal communication skills Be numerically confident and accurate Be comfortable chasing outstanding information and payments professionally Have experience in property, utilities, lettings, accounts administration or facilities management (preferred but not essential) Hours & Flexibility Part-time role Flexible working hours Combination of remote/admin work and property visits Potential for role expansion as the portfolio grows Useful Skills (Preferred) Experience dealing with utility suppliers Experience in property management or lettings Understanding of meter readings and utility billing Experience with shared accommodation or multi-occupancy properties Basic bookkeeping/admin experience Full UK driving licence beneficial
