Job Description:
We are seeking a detail-oriented and proactive Financial Administrator and General Administrator to join our team.
This dual-role position is office based in Plymouth and requires a skilled professional who can manage both financial administration tasks and general administration processes. The successful candidate will play a critical role in financial operations of the company through effective credit management, accurate financial reporting, and efficient administration.
Key Responsibilities:
Financial Administration:
* Manage day-to-day financial transactions, including accounts payable and receivable, invoicing, and bank reconciliations using Xero and Apron software.
* Assist in the preparation of financial statements, budgets, and forecasts.
* Support month-end and year-end closing processes, ensuring accurate and timely reporting.
* Maintain and update financial records, ensuring accuracy and compliance with company policies and relevant regulations.
* Assist with payroll processing and related financial duties as required.
* Work to streamline financial operations and improve efficiency.
* Monitor customer accounts to identify overdue payments and ensure timely collection of outstanding debts.
* Communicate with clients via phone, email, and letter to follow up on unpaid invoices and resolve any payment issues.
* Maintain accurate records of all credit control activities and correspondence with clients.
* Reconcile customer accounts and handle any discrepancies or disputes related to invoices.
* Prepare and present regular reports on debtor balances, credit status, and cash flow forecasts to senior management.
General Administration:
* Answer and manage incoming calls and emails, directing queries to the appropriate team members.
* Maintain office filing systems including vessel files, surveyor records, and correspondence.
* Log incoming survey requests and allocate to appropriate surveyors.
* Track progress of ongoing surveys and ensure documentation is received in a timely manner.
* Maintain and update the central database of vessels, certificates, and surveyor assignments.
* Issue draft and final certificates to clients once approved by technical staff.
* Act as the first point of contact for vessel owners, operators, and surveyors on routine queries.
* Assist with coordination of surveyor training sessions and seminars.
* Maintain accurate records in line with ISO 9001 and MECAL's quality management procedures.
* File and archive all MCA correspondence, survey reports, and technical documentation.
* Support management team with ad hoc administrative projects.
* Ensure GDPR compliance in handling client and surveyor data.
Qualifications and Experience:
* Ideally experience in a similar joint administration role.
* Proficiency in using Xero and Apron accounting software is desired.
* Understanding of accounting principles and credit control practices.
* Excellent communication and negotiation skills, with the ability to handle sensitive financial matters professionally.
* Customer service experience.
* High level of accuracy and attention to detail.
* Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
* Proficiency in Microsoft Office suite, particularly Excel.
* Experience with database systems and data entry
* A proactive approach with the ability to work both independently and as part of a team.
* Security clearance desirable but not essential
* Minimum 5 GCSEs : 4 – 9 Grades (C- A)
