The postholder will oversee administration, estates, health & safety, catering, resources, cover management and educational visits, ensuring statutory compliance, efficiency, and value for money.This is a senior role requiring strong leadership, organisational expertise and the ability to manage complex operational systems in a fast-paced environment.Key ResponsibilitiesAdministration & Systems ManagementLead and manage the whole-school administrative function, including line management and performance reviewsDesign, implement and continuously improve administrative systems aligned with organisational objectivesEnsure effective information flow, clearly defined responsibilities and stakeholder supportAnalyse data to improve efficiency, reduce duplication and inform decision-makingPrepare and submit statutory returns and reports to external agenciesSupport the Office Manager in maintaining first aid compliance and reporting proceduresEstates & Facilities ManagementLead the site and premises teams and oversee all estates operationsEnsure buildings, repairs, maintenance and improvements meet statutory and regulatory requirementsManage contractors and outsourced services, ensuring contractual obligations are metOversee site security, utilities, cleaning contracts and emergency planningMaintain and monitor the School Travel Plan and cycle permit systemHealth & SafetyAct as Health & Safety Coordinator and Fire OfficerEnsure compliance with health & safety legislation and trust-wide policiesMaintain risk assessments, accident reporting and monitoring systemsLead fire drills, alarm testing and emergency proceduresReport health & safety matters to senior leadership and governors as requiredOtherMonitor on-site catering provision and staffLiaise with the Catering Manager on menu planningAttend contract monitoring meetings and support tendering processesReview and benchmark food quality and valueSupport events and catering-related activitiesManage daily staff cover using Bromcom (training provided)Allocate cover, room changes and work for absent staff each morningCommunicate daily cover arrangements to staff and senior leadershipLiaise with supply agenciesMonitor staff absence and escalate concerns in line with policyLine manage the Reprographics TechnicianMonitor and improve reprographics and library systemsAct as Educational Visits CoordinatorApprove and monitor all trips and residential visitsEnsure compliance with guidelines and risk assessmentsDeliver training and guidance for staffManage minibus training recordsHandle cash and petty cash in line with financial proceduresAttend senior leadership and governor meetings as requiredSupport whole-school events such as open evenings and transition activitiesUndertake other duties appropriate to the roleThis role offers an excellent opportunity for an experienced operations professional to play a key role in ensuring a safe, effective and well-managed educational environment.
