JOB ROLE: CHASE Encounters Officer
HOURS: 9:00-13:30 2 days per week
SALARY: £17.98 per hour
Encounters is a bi-annual conference that brings together all CHASE studentship award-holders, as well as other members of the CHASE community, to share their research in progress, network and socialise.
CHASE seeks a Senior Encounters Conference Officer to take responsibility for the 2025 autumn online CHASE Encounters conference.
Using your in-depth knowledge of research- or cohort-development events, you will work independently to plan, promote, coordinate, programme and deliver the autumn 2025 Encounters conference. You will be supported by the CHASE team throughout the role and will liaise with delegates, participants, training providers and operational teams in relation to queries and requests.
You will draft and issue a call for papers/contributions, design and coordinate an engaging programme for the event, organise event logistics, communicate about and promote the conference, and ensure the smooth running of the event on the day. PRINCIPAL ACCOUNTABILITIES
Provide information, subject matter knowledge, advice and guidance relating to the delivery of the autumn CHASE Encounters conference.
Assess queries and potential issues, advise on solutions and coordinate accordingly with relevant operational teams. Use knowledge and experience to solve more complex problems directly where possible.
Develop and maintain effective relationships with key stakeholders.KEY RESPONSIBILITIES
Draft and arrange the circulation of a call for contributions.
Make decisions about the duration and delivery of the Encounters conference. Canvass CHASE cohorts for their preferences in terms of content, so as to design an event programme with the support of the CHASE team.
Use existing and learned knowledge and expertise to create a programme that will engage CHASE researchers.
Develop and maintain productive and collaborative relationships with researchers, managers, colleagues, and other service areas, demonstrating professional credibility. Maintain regular contact with contributors.
Respond to queries relating to the conference, referring to other team members where appropriate.
Develop and maintain an understanding of CHASE events, their organisation and delivery.
Confidently advise students, line managers and staff members, using appropriate methods of communication tailored to the audience. Answer questions or redirect as appropriate.
Support senior colleagues in developing knowledge and understanding of promoting attendance and engagement with CHASE events.
Prepare promotional communications. Produce high quality, up to date, accurate information about and resources for the conference for publications and web pages.
Chair, introduce and facilitate sessions on the day. Deliver live links and signpost forthcoming sessions as appropriate.Dimensions
The post holder reports to the CHASE DTP Training and Partnerships Manager. Working under comprehensive direction from the CHASE team within a clear framework, the post holder will manage their own work and achieve their agreed objectives. PERSON SPECIFICATION
ESSENTIAL CRITERIA
Effective planning and organisational skills.
Well-developed interpersonal skills with the ability to quickly build rapport.
Effective oral and written communications skills to work with colleagues and CHASE researchers, providing information and responding to questions and queries.
Ability to work flexibly within a small team and on own initiative.
Ability to assess problems effectively and make standard minor impact decisions autonomously.
Competent IT skills to effectively manage own workload.ESSENTIAL ROLE-SPECIFIC CRITERIA
At the later stages (third year onwards) of a CHASE-funded PhD, or CHASE alumni.
Regular attendee of previous Encounters (either online or in person) conferences, with understanding of how to coordinate an engaging conference programme for CHASE doctoral researchers.
Previous experience with conference, workshop or symposium organisation.DESIRABLE CRITERIA
Previous experience managing budgets.
Web design experience (using websites such as Squarespace, WordPress, and similar).
