About the Role: Reporting to the Global Book Royalties Operations Senior Manager, the Global Book Royalties Operations Coordinator will be an integral member of the Global Financial Shared Services organization, providing support in monitoring day-to-day activity whilst also assisting in scheduling and query solving. Areas of focus include collaboration with outsourcing partners, review and follow up of weekly metrics reporting, audit of contract and vendors setup, review of royalty advance processing, support for author inquiries and research and assistance in resolving issues and escalations from outsourced resources. This role is also responsible for assistance in identification and implementation of global process improvements. Job Responsibilities: Provide initial point of contact with outsourcing partners to include day-to-day activity in both Contract/Vendor set ups and Subsidiary Rights receipts to include a review of weekly progress reports. Monitor email activity from Authors and internal Wiley teams Guide, support and, if required, update and share workflow developments with outsourcing partner, including distribution of work to ensure completion of Royalties tasks within the team Assist as required in the review of new/changed royalty contracts, Author records and Subsidiary right screenings within the CORE Royalty System and in SAP (vendors) Assist in ensuring Author and internal queries progress within agreed turnaround times and processes are adhered to and assisting outsourcing partner with author inquiries, providing clarification on queries where needed Assist in research and preparation of deliverables related to special projects or complex queries Review and support royalty advance payment processing & non-standard monthly royalty journal entries Support the analysis, preparation, and processing of royalty data in accordance with royalty obligations according to company policies Ensure that all relevant key controls are in place and functioning properly in accordance with internal policies and procedures and Sarbanes Oxley Liaise with Global Book Royalties Operation Manager or Wiley Book Royalties Team on any issues or discrepancies in work completed by outsourcing partner, and follow steps as advised to ensure issues are rectified. Participate in continuous improvements initiatives including process re-design, process documentation and system testing Maintain strong, collaborative working relationships with Authors, Wiley editorial groups, Wiley tax and legal teams and outsourcing partners to ensure completion of Royalty tasks efficiently and effectively. Required Qualifications: University Degree or Higher Education Certificate or equivalent work experience Well-rooted understanding of general accounting principles, concepts and processes Proficient in using MS Office suite, specifically Excel Strong written and verbal communication skills, with the ability to collaborate effectively with colleagues at all levels of the organization. Strong organizational and analytical skills, with the ability to prioritize tasks and manage multiple activities simultaneously. Demonstrated initiative, accountability, and adaptability in a deadline‑driven environment. Ability to work independently while also contributing effectively within a team.
