Dennison Commercials Ltd is the sole Volvo Truck & Bus dealer and the leading provider of heavy commercial vehicles in Northern Ireland. We are currently recruiting for 2 × Full Time Workshop Administrators to join the team at our main Ballyclare Dealerpoint. Working hours will be 8:00 am to 4:30 pm or 9:30 am to 6:00 pm.

About The Role
The Workshop Administrator will support technicians, managers and the service advisor team by ensuring accurate timekeeping, planning and invoicing. They will liaise across departments to enable smooth workshop operation.
Key Role Duties & Responsibilities
* Ensure accurate daily recording of technician clock times using appropriate codes.
* Monitor and report on technician punctuality and absence.
* Load holidays into workshop planning system to maintain accurate available hours.
* Receive and vet/quality‑check technician job packs, raising issues and following up.
* Regularly monitor the workshop planning system and challenge technicians and supervisors on job times as needed.
* Provide the service advisor team with regular updates on vehicle progress through the workshop.
* Liaise with all departments on creation and follow‑through of repair quotations, ensuring all additional work is reported and authorised.
* Liaise with the service advisor team regarding breakdown technician clock times and report on non‑compliance.
* Monitor and report on breakdown activity.
* Coordinate with the service advisor and training teams to ensure technician availability for training and time‑clocking.
* Complete customer invoicing as and when required.
* Perform ad‑hoc administrative and reporting tasks as requested by Workshop Manager or Depot Manager.

Required Criteria
* Experience in an administrative role within a workshop, automotive, transport, engineering or similar environment.
* Excellent organisational, prioritisation and administration skills.
* Methodical approach within defined processes with keen attention to detail.
* Ability to manage time efficiently and meet deadlines while handling multiple tasks.
* Accurate handling of numbers, invoicing and technical documentation.
* Strong commercial focus to contribute to overall business effectiveness.
* Proficient in Microsoft Office packages.
* Effective, supportive member of a high‑performing team, pro‑actively supporting others.
* Adaptable to varying contexts, enjoys unfamiliar tasks, open to change.

Desired Criteria
* Strong understanding of heavy vehicle workshop processes, procedures and terminology, and familiarity with parts.
