Job Overview

We are seeking an experienced and motivated individual to join the Homecare Team for an 18-month fixed term period. You will lead a team of Pharmacy Homecare Assistants and Supervisor, overseeing day-to-day operations to delivery a safe and effective homecare service.

You will be responsible for but not limited to ensuring the homecare service is running smoothly, all aspects of HR and recruitment, conducting service reviews and managing financial accounts with homecare providers. You will also support the Specialist Pharmacy Technician - Homecare and Homecare Services Manager (Lead Pharmacy Technician) with service development.

This position is open to both unregistered staff and Pharmacy Technicians in line with the person specification.


Main duties of the job

* Responsible for the management of the operational day to day functions of the homecare team including creation of purchase orders against valid Homecare prescriptions and transition of all relevant documents in a timely and secure manner to relevant Homecare provider(s).
* Responsible for managing the workload dictated by service needs, prioritising work according to clinical need and service requirements, and ensuring the day-to-day operation of the pharmacy homecare team is carried out within expected key performance indicators
* Work with homecare providers to maintain continuity of supply ensuring any supply problems or queries are resolved and/or effectively communicated within the Trust
* Communicate effectively with pharmacy staff, wider trust staff, Suppliers, and patients or agreed patient representatives to ensure that queries and issues are resolved in a timely manner.
* Responsible for overseeing the financial statements of the homecare providers, liaising with the relevant disputes teams to resolve invoicing queries, and invoices are paid in a timely manner to ensure efficient flow of invoicing
* Carry out quarterly performance review meetings with suppliers, including minute taking and management of action logs
* Attend regional homecare meetings on behalf of NBT if required

Detailed Job Description And Main Responsibilities

* Specialist knowledge and clear understanding of Homecare policies, “Hackett” report, RPS Professional standards handbook and other relevant regulations, guidance, and quality standards as well as Local Procurement practices and Regional and National developments
* Run regular reports to monitor and record homecare team workload statistics and complete homecare monthly KPIs
* Takes responsibility for collection and accuracy of Homecare KPI data.
* Monitor and review KPIs from Homecare providers and appropriately elevate any performance issues
* Maintain the correct CMU contract information on the pharmacy computer system and ensure this information is communicated correctly to the homecare providers in a timely manner.
* Ensures that all systems and processes related to the smooth running of the Homecare service are followed, and prepare the way for future developments, including but not limited to electronic working, to ensure that NBT Homecare services are of a consistently high standard
* Keep up to date with current pharmaceutical practice and knowledge as required for personal and departmental development
* Line manager responsibilities including but not limited to; appraisals and objective setting, sickness absence management, disciplinary and performance matters, workload allocation, e-rostering, development of training packages and induction programmes, and recruitment of new staff
* Resolves Homecare problems or queries arising in conjunction with homecare suppliers, clinical leads, and homecare technician in an accurate and timely manner to minimise disruption to service for patients and ensuring accuracy of invoices for payment.
* Ensures that any service changes or issues are effectively communicated to all relevant Trust and Departmental Staff.
* Deals with urgent medication requests in a prompt and timely manner to ensure that patient treatment is not compromised.
* Responsible for working with multidisciplinary healthcare teams to review and develop existing services, implement new services, and move services to alternative homecare providers
* Developing training programmes for new homecare staff and rotational staff, responsible for training and developing new homecare staff and rotational staff including competency assessment and sign off
* Participates in the induction programme for all appropriate new staff to ensure they are aware of essential Homecare procedures.
* Undertakes continuing professional development to maintain a high level of professional knowledge and competence in relation to Homecare.
* To investigate patient or staff led complaints involving or relating to homecare services, taking appropriate action, developing, and implementing necessary changes in practice to ensure improvement.
* Assist in internal audits of the homecare service in line with regional and national requirements
* To co-ordinate the homecare work process in accordance with Standard Operating procedures, safe working systems and the legal framework for the supply of medicines.
* Responsible for producing and reviewing standard operating procedures for own work area as well as processes and procedures that involve service changes that will impact on other sections/departments and, ultimately, patients. To ensure these standard operating procedures and process changes are communicated thoroughly to all relevant sections/departments whilst ensuring all staff training is current and valid in line with SOPs in all aspects of services for Homecare
* Deputise the Specialist Pharmacy Technician – Homecare
* Any other duties, which may be required by the Director of Pharmacy for the benefit of the service.


Person specification

Essential

* NVQ Level 3 or equivalent, or BTEC National Certificate in Pharmacy Services, a recognised equivalent qualification, or a qualification at degree level.
* Leadership and Management Level 2 Qualification.
* IT competencies equivalent to GCSE Grade C or above, including experience using Microsoft Office software.
* Current registration with the General Pharmaceutical Council as a Pharmacy Technician or a minimum of two years’ experience working in a leadership role.
* Experience of managing a team of two or more people.
* Experience of working with multidisciplinary stakeholders.
* Experienced in managing and applying CMU contract information to Pharmacy Systems
* Experience of writing standard operating procedures (SOPs)
* Experience of analysing financial data
* Excellent time management, organisational, communication and interpersonal skills. High level of accuracy and attention to detail
* Ability to train
* Ability to work flexibly under pressure, prioritising workload and meeting deadlines.
* Able to deal professionally with staff, patients and suppliers when dealing with sensitive information
