Job Summary
The Project Coordinator supports the Project Management team in executing and closing out telecommunications construction projects efficiently and in compliance with customer and municipal requirements. This role serves as a critical link between field teams, subcontractors, customers, and internal departments to ensure smooth project delivery. Responsibilities span administrative, logistical, and coordination tasks throughout the project lifecycle.
Key Essential Responsibility Areas for this position
* Project Estimating
* Assist with project tracking project pipeline (RFQ)
* Facilitate vendor outreach and initial pricing conversations
* Subcontractor & Customer Support
* Coordinate subcontractor onboarding and ensure required documents are collected
* Obtain Certificates of Insurance (COIs) for both customers and subcontractors
* Secure bonds and registrations required by cities or jurisdictions for project execution
* Ensure compliance with city, customer, and company documentation requirements
* Scheduling & Communication
* Support project scheduling and maintain timeline tracking
* Coordinate with internal departments, subcontractors, and vendors to ensure deliverables remain on schedule
* Organize project kickoff meetings and follow up on action items from weekly status calls
* Provide regular updates to project managers on task status and outstanding items
* Software & Workflow Support
* Create and maintain project templates, forms, and workflows in TracFax
* Troubleshoot software-related issues and support field teams as needed
* Assist in optimizing digital systems to improve workflow and documentation efficiency
* Procurement & Financial Support
* Assist in material tracking and procurement coordination with purchasing
* Track and process subcontractor invoices and assist with compiling customer billing packages
* Maintain cost tracking logs to support budget adherence
* Quality Control & Closeout
* Review documentation and photos submitted by the field for completeness and quality
* Submit closeout packages to customers per contract requirements and timeliness
* Maintain internal dashboards or trackers for project visibility and reporting
* Other Duties as Assigned
* Assist MTS Leadership as needed
* General Support functions: scanning, faxing, filing, photocopying, etc.
* Assumes other responsibilities as assigned
Requirements
Knowledge, Skills and Abilities
* Strong organizational and communication skills
* Proficiency in Microsoft Office Suite and project management software (TracFax, Smartsheet, etc.)
Educational Development
* Preferred 2+ years of experience in project coordination, construction administration, or similar support role
* Familiarity with permitting, bonding, and municipal project requirements
* Working knowledge of insurance certificates, subcontractor onboarding, and closeout documentation
Physical, Mental, and Visual Effort
Continuous speaking, hearing, and visual effort. Position requires standing, walking, and lifting frequently. Continuous mental and visual concentration requiring attention to detail and accuracy.
Working Conditions
