Post: School Secretary (with Examinations)

Line of responsibility
The Administrative Assistant is directly responsible to the School Business Manager.
You are required to carry out the duties and responsibilities of the post of School Secretary. As part of the frontline office team you will be required to support the work of the school in a range of areas that involve working and liaising with teachers, pupils, parents and outside agencies. Particular emphasis is placed on the following:
You are required to:
* Operate the School switchboard; providing advice and guidance to all incoming callers and personal callers at reception, and to make calls to parents and other agencies as required.
* Provide general secretarial duties e.g. typing correspondence in a timely manner using IT packages, maintaining files, reprographics, minute taking and ensuring that there are sufficient supplies of stationery, collecting monies, distributing post, dealing with emails promptly, stamping school post and taking to the Post Office as required, preparation of school registers and absence reports on a weekly basis.
* Be responsible for ensuring that all pupil data bases are maintained on a regular basis e.g. SIMS, Parent Pay, and produce reports as required.
* Administer first aid to children.
* Provide support to the Examinations Officer:
* resultant administration.
* dealing with parental and pupil queries.
* liaising with examination invigilators.
* overseeing the dispatch of exam papers ensuring all papers are correctly collated.
* keeping a log of exam papers as they arrive in school.
* escorting pupils whose exams clash to a holding room.
* ensuring pupils who fall ill during an exam are kept in exam conditions.
* overseeing the sorting of exam certificates as they arrive from the exam board and their distribution.
* ensuring envelopes are ready for results and attending GCSE results day.
* ensuring pupils arriving late meet exam regulations before they enter an exam.
* starting overflow exams that start at times when the Examinations Officer may be teaching.
* To attend training courses as required.
* To undertake invigilation of examinations.
* To undertake any other administrative tasks as delegated by the School Business Manager/Headteacher

The postholder is required to support and encourage the school's ethos and its objectives, policies and procedures as agreed by the Governing Body.
To uphold the school's policy in respect of child protection matters.
Be subject to all relevant statutory and institutional requirements.
The postholder may be required to perform any other reasonable tasks after consultation.
