Payrate: $24 hourly
Shift Schedule: Monday Friday (24 Hours perweek)
**Note: This will bea parttime 3 days per week fully in office role.
**PerClient want them to have boosters as wellsince they will be coming in the office and interacting with staff.Or at least be full vaccinated and willing to getboosters.
Job Summary:
The Operations Assistant will support the work of theagency and organize the physical space of the agency. A candidatemust be comfortable working independently prioritizing andmultitasking activities and gaining an understanding of the work.
Responsibilities:
* Welcome guests: offer toptier service directing visitorsto relevant offices or personnel triage calls and emails.
* Coordinate general office operations: overseeoffice inventory supplies key card access participate in new hiretraining on operations and mail room logistics (organize deliveriesshipping mail distribution & postage).
* Oversee recycling and shredding programs.
* Process department invoices.
* Contribute to internal newsletter develop and maintaindepartment SharePoint page update internal documents.
* Provide support for Zipcar and Blue Bike programs.
* Communicate building and equipment issues toOperations Manager and Building Management.
* Support staff and external events: organize cateringproduction entertainment and guest speakers.
* Assist in preparation for Council Meetings and ExecutiveCommittee Meetings.
* Assist MAPCs digitalworkflow for processing contracts including signature facilitation.
* Communicate with DocuSign and SeamlessRepresentatives to relay needs organize multidepartment meetings toaddress issues and assist in training staff.
* On occasion support external meetings by providinggeneral event assistance; may involve travel to locations in metroBoston where meetings are being held.
* Assiststaff members with miscellaneous administrative projects andshortterm research tasks.
* Other duties asassigned.
Requirements:
* Candidates for this position should have aminimum of two years professional office experience in officeadministration.
* Associates degree or higher preferred or equivalentcombination of education and experience.
* Successful candidates for this position willdemonstrate all or most of the following:
* Excellent customer service skills and strongoral and written communication skills.
* Know of Ability to originate and completeassigned tasks on own initiative is a plus.
* Proficiency in the MS OfficeSuite (Word Excel PowerPoint Outlook Teams) is required.
* Excellent writtenoral presentation and interpersonal communication skills arerequired.
* Ability towork with minimal supervision and respond well to change inbusiness needs in a multifaceted fastpaced environment is required.
* Indepth experiencewith operating and communication platforms (SharePoint Zoom).
* Ability to identifystreamline and make recommendations to improve administrativeprocesses and procedures.
* Ability to work on multiple tasks and tolerate frequentinterruptions.
* Ability to balance multiple priorities and to seekassistance in doing so when necessary.
* Strong research skills and resourcefulnessabilities.
* Excellentprofessional phone manner strong communication skills.
* Excellent attention to detailwithin a fastpaced and entrepreneurial environment.
* A passion for working in amissiondriven agency and a commitment to diversity and inclusion.
Preferred:
* Experienceformatting documents such as flyers labels and reportshelpful.
* Ability towork in Adobe Suite (Photoshop InDesign etc.) a bonus.
