Your mission

At Allsaved, you’ll play a vital role in ensuring our operations run smoothly and efficiently. As Operations Analyst, you’ll help maintain and strengthen our reputation by supporting the effective planning, monitoring and completion of works. This role is key to driving continual improvement and helping us build strong, ethical and long-term relationships with our clients, plus enabling our teams to deliver to the highest standards.


Job Description

The responsibilities of this role may evolve to meet the needs of Allsaved Ltd and its clients, with key accountabilities including:

* Client & Colleague Support

o Act as a first point of contact for clients and colleagues, managing enquiries related to jobs, quotes, and invoices.

o Manage databases and job tracking systems, ensuring accurate and efficient record-keeping.

o Assist colleagues and managers to promote efficient operations and client satisfaction.

o Assist in the planning and execution of operational projects. Monitor project progress, track key performance indicators, and report on outcomes.

o Work closely with cross-functional teams to support strategic initiatives and operational goals. Facilitate communication between departments to ensure alignment and drive continuous improvement.

o Provide training and support to staff on operational tools and processes. Foster a culture of data-driven decision-making within the organisation.


* Operational Duties

o Develop and maintain operational performance dashboards and reports, present findings and recommendations to stakeholders, including management and department heads.

o Generate invoices for completed work.

o Build and maintain effective relationships with clients, colleagues, and external partners through communication, collaboration, and training.

o Evaluate existing operational processes and workflows. Identify areas for improvement, propose solutions, and implement changes to enhance efficiency and effectiveness.

o Collect, analyse, and interpret data from various sources to identify operational trends and insights. Utilise statistical tools and methodologies to perform data-driven analysis.

o Create and maintain documentation related to operational processes, policies, and procedures. Ensure compliance with regulatory requirements and company standards.

o Other data-based duties, for example, panel uploads, pricing updates, and database cleansing.


* Standards & Compliance

o Represent Allsaved’s brand through high personal and professional standards.

o Complete work within scheduled timeframes and required quality standards.

o Stay informed of relevant legislation, organisational policies, and codes of conduct.

o Ensure adherence to Quality, Environmental Health and Safety standards, including PPE, accident reporting, and internal safety protocols.

o Promote equality and diversity, showing respect to all clients and colleagues.


* Other Responsibilities

o Perform additional duties as required to support the business’s success.


Financial Management

* Operate within budget parameters to maintain financial accountability.

People Management

* Adhere to Allsaved’s Performance Management framework, maintaining personal development records and actively pursuing continuous growth.

Risk & Quality Management

* Proactively manage internal risks and quality, addressing any non-compliance.

Other Significant Role Requirements

* Willingness to travel within the UK to support Allsaved Ltd’s nationwide operations.

Your profile

Person Specification

Knowledge & Expertise

* In-depth knowledge of organisational systems, procedures, and policies in a relevant area (essential).

* Proficiency in IT and management systems, including handheld devices, for accurate data entry (essential).

* Awareness of the Fire Safety Industry’s standards and responsibilities (desirable).

Qualifications

* GCSE or equivalent in Maths and English (desirable).

* Full UK driving licence (desirable).

Experience

* Background in a related field, with experience working with external partners in a client-focused environment.

Skills

* Ability to organise and prioritise tasks efficiently.

* Strong organisational and planning skills.

* Work effectively both alone and as part of a team, assisting colleagues and management.

* Strong communication and interpersonal skills for effective interaction with clients and team members.

* Proficient in Microsoft Office, Google Drive and other relevant software for data and word processing.

* High-level literacy and numeracy, with clear presentation of information in verbal, written, or electronic formats.
