The opportunity:
We are looking for an experienced Supply Chain Co-Ordinator to join our Supply Chain team.
In this role, you will coordinate Bespoke order processing from start to finish for our EMEA market, managing a varied workload while working reporting to the Lead Supply Chain Merchandiser - Bespoke.
You will ensure all requirements are fulfilled, deadlines met, and stakeholders informed, contributing directly to the success of our Bespoke customer orders.
What are key duties of the role?
Order Processing & Customer Service
Accurately process sales orders using ERP systems, ensuring data integrity and timely order flow
Complete item setup forms and customer specification sheets
Coordinate and arrange sample shipments for customer selections and approvals
Maintain and update customer records, order information and invoices
Liaise with customers regarding order placement, delivery procedures, progress updates and delays
Coordinate rework of products and packaging at factory and warehouse levels
Work closely with Sales to track PO progress and report delays
Collaborate with 3PL partners to meet SLA requirements
Manage customer portals for orders, uploads and documentation
Ensure new accounts are set up with correct credit limits and payment terms
Customer Special Orders
Manage critical path timelines for all customer specials
Provide regular updates to National Account Managers
Coordinate licensing requirements, style guide adherence, artwork, sample management and all related approvals
Internal Procurement & Logistics Liaison
Work with Procurement to ensure production schedules align with customer requirements
Coordinate with the Shipping team to meet handover dates
Liaise with suppliers for contractual samples
Ensure timely invoice delivery via correct channels
Customer Order Management
Update customer pricing and delivery specifications
Ensure correct allocation of orders to meet delivery deadlines
Complaints, Returns & Credits
Record, investigate and resolve customer complaints within agreed times
Process credits and returns in line with company policy
Work with Quality and Warehouse teams to assess product issues and agree next steps
Monitor trends and support continuous improvement
What we need you to bring to the team:
Minimum 2 years' experience in supply chain role.
Strong attention to detail, organisation and time management
Excellent communication and relationshipbuilding skills
Confident with ERP systems and Microsoft Office (Excel, Word, Outlook)
Knowledge of EDI systems and retail portals
Proactive, solutionsfocused and collaborative mindset
