Position Overview

An exciting opportunity has arisen within the Urology and Ophthalmology departments for a Clinic Coordinator to join our team. You will be part of a well‑established team in a very busy department, managing and monitoring clinics and supporting the managerial team and secretaries with clinic‑related queries.


Responsibilities

* Referral management – use of PCS & the NHS e‑Referral system
* Scheduling of outpatient appointments
* Management of waiting lists
* Monitoring the Telephone Reminder Service (TRS)
* Managing Referral to Treatment (RTT) patient pathways in line with Trust targets
* Monitoring new and follow‑up appointments
* Monitoring nurse/inpatient referrals
* Amending clinic templates
* Reviewing clinic slot utilisation
* Amending clinical activity in line with rota
* Handling internal/external appointment enquiries


Qualifications & Experience

* Good communication skills – dealing with enquiries from patients and internal/external healthcare professionals
* Previous experience within a similar role in the Trust and knowledge of outpatient processes is particularly advantageous
* Ability to exercise initiative and ensure all urgent patients are appointed in a timely manner in line with the Patient Access policy
* Excellent accuracy, organisational and communication skills
* Excellent interpersonal skills
* Be a team player
* Able to work under pressure and meet demanding deadlines
* A high level of concentration and attention to detail
* Meticulous accuracy to maintain service levels


Additional Information

* Work hours: core hours 09:00 – 17:00, five days a week

* Secondments will be considered for fixed‑term positions when both parties agree. Candidates should seek approval from their current line manager before applying.

* Staff recruited from outside the NHS usually joined at the entry point of the pay band.
* Appointments are subject to a 6‑month probationary period. LED Doctors have a 3‑month probationary period.
* DBS disclosure is required where the post requires one; we encourage applicants to join and remain registered with the DBS update service.
* Travel to interview expenses are not reimbursed.
