We are seeking an organized and experienced administrator to support the management team and Amicus Health Group in what will be a varied role. The Business Support Administrator will provide high-quality, co‑ordinated administrative and operational support. This is a group‑wide role, supporting multiple sites, managers and central functions to ensure consistency, efficiency, and compliance across the organisation.


Main duties of the job

The post holder will play a key role in supporting HR, finance, governance, operations and business processes, acting as a central point of coordination, with the support of the Business Support Officer. They will contribute to the smooth running of services, support performance monitoring, and help embed standardised systems and processes across the group.

The role requires strong organisational skills, discretion, and the ability to work across teams, supporting both day‑to‑day operations and wider service improvement initiatives.

The post holder will be based at Clare House Surgery, with flexibility to work across locations of Amicus Health Group as required.


Key Responsibilities


1. Group Operational Support

* Provide comprehensive administrative support across all Amicus Health sites
* Support the Operations Manager and wider leadership team with coordination of workflows, projects and service delivery
* Manage shared inboxes, calendars, and communications on behalf of the operations function
* Prepare reports, letters, presentations and operational documentation
* Support implementation of new systems, processes and service improvements across the group
* Provide flexible support to operational and secretarial teams where required.


2. Human Resources Administration (Group‑Wide)

* Coordinate end‑to‑end recruitment administration (advertising, shortlisting, interviews, references)
* Maintain accurate and compliant staff records across all sites
* Support onboarding and induction processes, including contracts (for approval), system access and logins, induction packs)
* Support leaver processes, ensuring timely system access removal and documentation.


3. Governance, Compliance & Process Support

* Support governance processes across the group, including incident and significant event administration, preparation of documentation for inspections and audits, document control and retention
* Work with the Compliance/Governance Manager to coordinate reviews and learning events and monitor action completion.


4. Data Management & Reporting

* Support performance reporting by collating and presenting data
* Ensure all data is managed in line with information governance standard.


5. Meetings & Coordination

* Coordinate and manage group‑wide meeting schedules
* Support the organization of meetings, including agenda preparation, distribution of papers, logistics and invitations
* Produce accurate minutes and action logs for meetings as requested
* Track actions and follow up where required.


6. Patient & Stakeholder Engagement

* Support Patient Participation Group (PPG) coordination and administration
* Assist with patient surveys and feedback processes
* Maintain communication with internal teams and external stakeholders
* Support website updates and internal communications as directed.


7. Facilities, Health & Safety Support

* Support coordination of building maintenance and contractor scheduling across sites
* Support health & safety administration and compliance tracking
* Assist in maintaining safe working environments in line with policy.


8. General Administrative Support

* Stock ordering
* Complaints administration and tracking
* TeamNet or internal system administration
* Support of organization of staff events and recognition activities.

* Group Manager / Operations Manager
* Practice Managers and site leadership teams
* Partners
* Finance, HR and Governance leads
* Clinical and non‑clinical staff across all sites
* External stakeholders and service providers.

Person Specification


Experience

* Strong administrative experience in a busy, multi‑functional environment
* Excellent organisational skills with the ability to manage competing priorities
* High level of attention to detail and accuracy
* Confident communicator with strong written and verbal skills
* Ability to handle confidential and sensitive information with discretion
* Proficient in Microsoft 365 (Outlook, Word, Excel, Teams)
* Experience of diary management, minute taking and coordination of meetings
* Ability to work independently and collaboratively across teams
* Problem‑solving mindset with ability to use initiative
* Experience in a healthcare, GP practice or regulated environment
* Understanding of HR, governance or operational processes
* Experience supporting multi‑site or group functions
