Job Description
The resource, placed within the order office, will be responsible for managing shipments, preparing transportation-related documentation, and communicating with freight forwarders. Specifically, they will manage and plan customer orders, from load preparation to the organization of shipments, up to the delivery of the goods.
Key responsibilities:
* Order entry over the phone.
* Support to the sales force in relation to any disputes and unsettled invoices. Evaluation, in agreement with the respective offices of the Italian headquarters, of any payment extensions or other exceptions to the standard conditions.
* Management of relationships with carriers and suppliers. Manage the shipping, orders receiving and delivering issues.
* Sending reminders to customers and possible preparation of documentation for legal action.
* Pre and post-sale telephone support to customers.
* Archive management.
* Contribute to improving the business and enhancing the reputation of the company by putting forward new ideas and by implementing change when requested to do so.
* Undertake any other tasks as requested by management from time to time to assist in the successful operation of the company.
Role requirements:
* Proficient in Microsoft Office Suite: Especially Excel (for data analysis and reporting), Word, and Outlook.
* Knowledge of logistics principles: Basic understanding of shipping methods, incoterms, and customs procedures is advantageous.
* Strong organizational and time management skills: ability to prioritize tasks, manage multiple deadlines, and work efficiently under pressure.
* Excellent attention to detail and accuracy: meticulous in data entry, documentation, and record-keeping.
* Strong communication skills: both written and verbal, with the ability to interact professionally with internal and external stakeholders.
* Problem-solving abilities: resourceful in identifying issues and finding effective solutions.
* Ability to work independently and as part of a team: collaborative yet self-motivated.
* Adaptability: ability to adjust to changing priorities and learn new systems quickly.
* Able to demonstrate a good level of general education to GCSE standard in Mathematics and English or equivalent.
