About the Role
The Brands Dispense Co-ordinator is responsible for managing and co-ordinating all dispense installation activities and related initiatives. This role ensures the end-to-end process from initial logging of RFW to completion of work is executed efficiently and as cost effectively as possible, in line with customer requirements, while delivering data-driven insights to support strategic decision-making and operational excellence. In addition, the role focuses on optimising all brands dispense processes and embedding a culture of continuous improvement. This includes identifying inefficiencies, implementing best practices, and leveraging data-driven insights to streamline workflows, enhance operational effectiveness, and maximise return on investment.
* Coordinate all dispense installations across brewers, managing the full lifecycle from request to completion and escalating risks or delays.
* Manage and coordinate events, obtaining competitive supplier quotes to ensure cost‑effective solutions and strong ROI.
* Oversee scheduling, approvals, and execution of installations, working with internal teams and external partners to meet agreed costs and rate cards.
* Track installation lead times, confirm completion, and capture accurate cost and completion data.
* Ensure customer satisfaction by gathering feedback and communicating issues and improvements to suppliers.
* Produce accurate, timely reporting on GB dispense activity for weekly, monthly, ad‑hoc reviews and the monthly dispense forum.
* Maintain data integrity, governance compliance, and audit‑ready documentation across all dispense activity.
* Provide actionable insights to support decision‑making, cost control, and continuous improvement.
* Manage all MBMS transactions with Innserve, ensuring accuracy, verification, audit trails, and up‑to‑date bar records.
* Raise invoices and POs for MBMS and line lease, ensuring costs are captured, recovered, and billed in line with rate cards.
* Report MBMS position to senior leadership and support monthly billing audits, identifying and escalating non‑compliance.
* Review maintenance and performance data to identify underperformance, optimisation opportunities, and cost‑saving initiatives.
* Maintain and reconcile Innserve bar records, including account openings, closures, installations, removals, and line counts.
* Identify workflow bottlenecks and implement best practices to streamline processes and embed continuous improvement.
* Ensure compliance with company policies, health and safety standards, and governance requirements.
* Collaborate closely with Sales, Marketing, Technical Service teams, and external contractors to ensure seamless delivery.
