Main area Receptionist/Administrator Grade Band 2 Contract 12 months (This post is fixed term/secondment for 12 months to meet the needs of the service. Fixed until 31st January 2027. Practice is currently reliant on RIGA funding allocation, therefore only able to recruit on fixed term basis. Additional fixed term funding has been supported for this post pending an overarching review of managed practices.)

The West Area Team is looking for an experienced, organised and enthusiastic Receptionist to work at Tywyn Health Centre, Tywyn. This practice is currently being managed by the Local Health Board.


Main duties of the job

Previous experience of working within a GP Practice would be beneficial and knowledge of the EMIS clinical system is desirable, however training can be given. The demands of a GP practice can change on a daily basis and therefore this role will be challenging. The post holder will be booking appointments and dealing with patient queries; therefore excellent communication skills and a confident telephone manner is required.

Proficient IT skills (including experience of Microsoft Office) is also required as the post holder will also be undertaking a variety of administrative duties to assist in the smooth day‑to‑day running of the practice, including some data inputting.

The ideal candidate will have experience of working in a healthcare setting or a customer service environment but full training can be given to the right candidate.

The ability to speak Welsh is essential for this post.

Qualifications

* A good standard of general education
* NVQ Level 2 in administration or equivalent qualification/experience
* ECDL
* Word processing qualification (e.g. RSA 2, or equivalent experience)


Experience

* Experience of using Microsoft office packages
* Experience of working in a busy reception or office environment
* Experience of dealing with the public on the phone and face to face
* Ability to work in a fast paced, ever-changing environment
* Experience of using an IT system (e.g. EMIS, Oracle, WPAS)
* Experience of working in a GP surgery or an NHS office environment


Skills

* Ability to input information onto a computer system with speed and accuracy
* Ability to deal with a number of different tasks simultaneously
* Ability to communicate professionally and effectively with all levels of staff both verbally and in writingAbility to deal with issues on the spot
* Shorthand skills


Knowledge

* An understanding of confidentiality involved with post
* Knowledge of a range of administrative processes


Personal Attributes

* Ability to work as part of an integrated multi‑skilled team member without direct supervision
* Flexible approach to the needs of the service including working at other sites when required
