Job Title: Personal Secretary to Head of Branch
Location: Hillsborough
Rate of Pay: £15.83 per hour
Hours: 37 hours per week (Monday to Friday)
Job Duties:
The successful candidate will provide high-quality, efficient, confidential, and professional secretarial and administrative support to the Head of Branch. Key responsibilities include:
1. Managing the Head of Branch’s diary and arranging meetings.
2. Coordinating agendas, business papers, minutes, and documentation.
3. Attending meetings and accurately recording minutes and key decisions.
4. Preparing and circulating draft minutes and action sheets within set deadlines.
5. Ensuring approved minutes are retained and accessible.
Additional duties include liaising with staff across the branch to gather and collate information for:
6. SAFSD monthly reports
7. Star Chamber
8. Quarterly KPI reporting
9. Audit recommendations
10. Risk Management
11. Research project reporting
Other duties may be assigned by line management as required.
Essential Criteria:
12. 5 GCSEs including English and Maths (Grade C or above) or equivalent.
13. Demonstrable experience supporting Senior Management, including:
Diary management and meeting coordination. Interaction with Senior Management. Drafting correspondence. Vetting calls from various stakeholders. Managing records in line with governance standards. Arranging and minuting physical and virtual meetings.
14. Proficiency in MS Office applications: Word, Excel, PowerPoint, Outlook, and Teams.
