Overview
An immediate exciting opportunity has arisen (due to internal promotion) within Element for an experienced Office Manager with strong knowledge of H&S to join the team in the beautifully renovated Head Office in central London. In this role, you will be responsible for overseeing the upkeep of the London Head Office, ensuring facilities are safe and secure, and being the go-to person for any internal facilities queries. You will provide general office administrative support and be the point of contact for all guests, e.g., welcoming clients and providing refreshments, couriers, etc.
This is on-site Mon-Fri no exceptions
* Strong working knowledge of H&S, compliance, and building systems
* Experience leading health & safety in previous roles, with a clear understanding of UK requirements
* Sole responsibility for health & safety of the London head office
Responsibilities
Duties will include but are not limited to:
Health & Safety
* Adherence to H&S requirements, training fire wardens, first aiders, evac chair, and maintaining emergency procedures
* Managing risk assessments (fire, desk, lighting, PAT testing, water)
* Keeping first aid kits stocked and checking defibrillators
* Conducting health & safety inductions for new employees
Cleaning
* Managing cleaning staff and scheduling cleaning services
Maintenance, Repairs & Suppliers
* Responding to issues or emergencies promptly
* Arranging maintenance and repairs with suppliers
* Coordinating office moves and refurbishments
* Renewing supplier contracts
Security
* Managing security fobs, entry systems, and storage assignments
Meeting Rooms
* Booking rooms, ordering refreshments, managing calendars, and coordinating AV tests
Building
* Attending tenants’ meetings and liaising with building management
* Coordinating building maintenance needs
Administrative Support
* Handling couriers, post, POs, expenses, stock, and organizing events
* Supporting senior leadership with travel and admin tasks
Reception
* Greeting guests, managing deliveries, and ensuring the tidiness of common areas
Skills / Qualifications
* Strong knowledge of H&S, compliance, and building systems
* Experience in office or building facility management
* Attention to detail and reliability
* Proficiency in Microsoft Office (Outlook and Excel)
* Excellent communication and interpersonal skills
* Judgement and confidentiality
* Organization skills and ability to meet deadlines
* Team player and independent worker
