£28,636 to £30,394 per annum (for exceptional performers, there is scope for further progression up to £34,953 per annum)

This role will be based on site, primarily in the named location. Currently, this role offers the opportunity to work remotely, normally 2 day/s a week in line with our Adaptive Working Framework.

Legal, Governance and Assurance Services are acentral risk management and support function which reports directly to the University Secretary and Registrar.

We consist of 3 teams; Legal Services, Governance and Assurance. We provide professional support and assess and mitigate risk, including legal, regulatory, financial and reputational risk, across the University.

Legal Services

Legal Services provides support and advice in relation to contracts and other legal matters.

Governance

In Governance, we provide support, advice and documentation for the University\'s governance activities,working to reflect best practice, guidance and legislation.

Assurance

In Assurance services, we support the University\'s regulatory arrangements; and are responsible for monitoring the University\'s approach to the OfS conditions of registration. We also provide monitoring, training and support to reduce risk of non-compliance with these conditions.

As Information Governance Officer, you will ensure the University’s compliance with the Freedom of Information Act (FOIA), Environmental Information Regulations (EIR), the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 (DPA 2018).

As a public authority, the University must respond to FOI and EIR requests by providing access to recorded information unless exemptions apply. You will coordinate and review these requests, delivering clear, compliant responses within statutory deadlines.

You will also manage data subject rights requests under the UK GDPR and DPA 2018, supporting students, employees and other stakeholders in accessing their personal data. In addition, you will advise colleagues on privacy notices, data protection impact assessments and data sharing agreements, as well as other key aspects of data protection compliance such as accountability requirements and incident management.

This role will be fast-paced and involve regular liaison with colleagues in all areas of the University, so the ability to write clear, accurate, and customer-focused communications is an essential part of the role. As well as having in-depth knowledge of the relevant legislation and experience in dealing with personal and confidential data, you will demonstrate excellent organisational skills, the ability to negotiate and influence, and exceptional attention to detail.

* Co-ordinate the response to requests under information legislation to ensure that the University meets its legal obligations in an appropriate, complete and timely manner, including monitoring deadlines, liaising with and sourcing material from relevant colleges or departments, photocopying and redacting responses.
* Process core University records by creating paper and electronic folders, filing, retrieving, relocating and destroying information in accordance with University records management procedures
* Maintain and quality assure the University’s publication scheme in accordance with written procedures, to ensure that appropriate and complete information is published in line with the University’s statutory obligations, that website links work and that information is published to the timetable specified in the scheme.
* Organise internal and external meetings, events and training courses relating to Freedom of Information (FOI) and Data Protection (DPA)
* Co-ordinate, advise and support networks of staff responsible for data protection, freedom of information and related matters in colleges and departments. Identify any additional training required by departments/colleges in relation to FOI, DPA or Information Security awareness.
* Maintain and review the University’s system for answering external queries about its information as required by the appropriate information regulations
* Keep up to date with legal and regulatory aspects of information management, including case law and good practice in the sector.
* Provide statistical information about FOI and DPA to management as requested.
* Providing advice and support to colleagues and clients in a friendly and helpful manner;
* To ensure clear, effective and timely communication as appropriate from the LGAS department to its internal and external stakeholders.
* Contributing to the success of the team by being an active team member including organising, attending and participating in team meetings, and training events as appropriate.

* Undertaking any other duties as may be required by the Data Protection Officer and Assurance Manager.
* Proven experience of working in a busy office/administration environment, ideally with experience in a similar role or within the Information Governance field
* Demonstrable experience of managing own time/ planning, scheduling and prioritising work to resolve problems and queries
* Experience of producing operational/high-level written communication and complex reports that are well structured, grammatically sound and accurate
* Experience of working effectively and developing a range of organisational procedures


Skills, knowledge & abilities

* Ability to manage information from multiple areas and the ability to work with diverse partners (both internal and external) in order to coordinate activities
* IT literate - i.e. can use high level functions on email/databases/word processors/spreadsheets
* Ability to maintain regular, open dialogue that engages and connects individuals and teams with organisational priorities using a variety of mode
* Acting as a trusted advisor to leaders and professionals on matters of Information Governance
* Ability to operate independently and set high standards for self and others i.e. attention to detail and a methodical work approach, as well as the flexibility to prioritise conflicting demands and unforeseen problems, in pressurised and challenging times


Business Requirements

* Willingness to provide support atUniversityevents from time to time e.g., Graduation, Clearing and Open Days, (some of these events occur outside of normal working hours, such as evenings and weekends)

* Related qualifications – GDPR/FOI


Experience

* Experience within the sector/understands the demands of a HE administration service
