Generative artificial intelligence (AI) describes algorithms that can be used to produce new content, including audio, code, images, text, simulations, and videos. It is developing all the time and is now being used as a support mechanism for all kinds of content-based creations. Please note the use of AI is monitored and if applicants have used it then they are required to declare this.

The post holder will act as the first point of contact and provide knowledgeable signposting for the department. They will provide a full personal assistant and committee support service to the Director and Deputy Director of R&D and comprehensive administrative support to the senior management team, as well as supporting the overall smooth administration and running of R&D, managing specific projects, providing research communications support, and carrying out information related tasks.

The post holder will be responsible for the management of other administrative tasks to support members of the R&D team. They will be responsible for the development of effective filing systems. meeting preparation, workshops and other events. They will demonstrate good keyboard skills and be able to type reports, take minutes, organise diaries and other administrative skills required of the post. The post holder will have excellent interpersonal skills and be able to liaise with all members of staff, both internal and external to the Trust. The post holder will deliver an efficient, professional reception service on behalf of R&D within the Trust and at all R&D events at all times.

PA duties/Administration

1. Provide administrative and secretarial support to the Director and Deputy Director of Research and the wider senior management team.
2. Maintain and improve the shared document system for R&D, ensuring departmental staff are aware of processes and standards; monitor compliance with processes and standards and ensure quality is maintained.
3. Deal with matters for the Director and Deputy Director to include preparation of all correspondence and documentation, assessing priority and dealing with matters as appropriate, including initiating and replying to correspondence, efficient systems for storing and retrieving information, distribute items where appropriate within the Team or wider Trust.
4. Be responsible for the production of reports, documents and correspondence as required by the Director and Deputy Director.
5. Provide effective diary/time management for the Director and Deputy Director of Research and R&D senior management team and ensure that preparations are made for meetings including briefings where appropriate.
6. Support the R&D teams to facilitate delivery of their objectives.
