Waiting List clerk/Clerical Officer Administrative Support
Closing date: 14 April 2026.
To manage and monitor waiting lists to ensure procedures are carried out within specified Government targets and locally agreed clinical protocols, and to provide and maintain an efficient and effective administrative service, undertaking a range of duties in line with local policies and procedures.
Main duties
* Coordinate and monitor waiting lists; produce weekly waiting time information, ensuring no target outliers.
* Provide administrative support: answer telephone enquiries, update computer databases, file records, handle case note requests and preparation.
* Deal effectively with mail, redirecting as necessary.
* Prioritise and organise own workload daily.
* Suggest improvements in practice to local systems and processes.
* Perform reception duties: greet and register patients, answer telephone, interact with hospital staff and visitors.
* Maintain professional standards in appearance, behaviour and punctuality.
* Assist in training and supervision of new staff while carrying out own duties.
Systems & Equipment
Use of computer equipment, Microsoft software packages, email, photocopiers, scanners and printers.

Qualifications
* RSA II or equivalent.
Experience
* Demonstrable experience and knowledge of service improvement systems.
Knowledge
* Good working knowledge of computers and software packages/ECDL.
* Understanding of a broad range of administrative processes.
* Ability to understand a wide range of local hospital systems, processes and policies.
Skills
* Good basic numeracy skills.
* Excellent interpersonal skills – ability to communicate at all levels.
* Ability to present data and information in a useful and understandable format.
