The Administrative Assistant will provide a critical role in support of the Chief Executive Officer by planning, organising, directing and controlling all administrative functions to ensure the smooth running of the HLC. They will also support the finance officer by maintaining financial records.


Responsibilities

* Administrative Duties include:Managing the reception area, including welcoming customers and guests.
* Managing correspondence, including telephone calls, emails, letters and deliveries.
* Managing the main centre diary and responsibility for the organisation of room set up, resources, attendance lists and evaluation forms.
* Organising meetings, scheduling appointments and overseeing catering for DVC events.
* Updating records and databases for personnel, financial and service user information.
* Ordering and stock control of office supplies, including stationery.
* Manage the booking of equipment including multimedia equipment.
* Provide administrative support to the CEO.
* Financial duties include supporting the Finance officer with:Updating of financial spreadsheets and daily transactions.
* Tracking and reconciliation of bank statements.
* Processing of Payroll.
* Keeping financial records up to date.
* Processing invoices and follow up with partners, suppliers as needed.
* Tracking and monitoring expenditure of projects within budget.
* Collating and checking invoices prior to payment.


Skills and Qualifications

* Applicants must have either: A business related degree. OR 2 year’s experience as an Administrative Assistant or similar role.
* Good knowledge of administrative and bookkeeping procedures
* Social Media Skills
* Organisational and time management skills
* (Similar role defined as an administrative role (i.e. evident from job title) including a range of administrative duties)


Further Information

Derg Valley Care, Castlederg, County Tyrone.This post is temporary for a minimum period of 18 months from the date of appointment. The extension of this post will be subject to obtaining additional funding.
