EQUANS are recruiting for a Bid Coordinator to be based in Didsbury, Manchester. This is a permanent full-time role working 37.5 hours per week. On offer is a salary circa £32k and benefits package.
General Overview
To provide high-quality coordination and production support across the end-to-end bid process and associated business development activity, helping the P&C North business units to secure new work in line with the Business Plan.
Key Accountabilities
Bid Coordination & Submission Production
1. Coordinate and support the production of bid submissions, including Expressions of Interest (EOIs), Selection Questionnaires (SQs) and Tenders (ITTs), taking the lead on SQ submissions as appropriate.
2. Prepare and maintain bid templates, document structures, submission plans and formatting/quality standards.
3. Produce and format bid documents and supporting materials (e.g., interview presentations, capability documents, customer packs, internal bid-launch communications).
4. Ensure submissions are compliant, complete and consistently branded, with excellent attention to detail (version control, file naming, pagination, proofreading, packaging).
5. Maintain and update company information for frameworks and annual refresh submissions.
6. Coordinate the bid clarification process; log and submit clarifications, track responses and distribute updates promptly to the bid team.
Opportunity Monitoring & Bid/No Bid Process
7. Monitor contract notice portals (including Locarla/OJEU/Find a Tender and client portals) for relevant opportunities and alerts.
8. Prepare and issue Bid/No Bids matrixes and emails for any new opportunities with the support of the Head of Bids, Bid Managers and Directors, Monitor, chase and ensure decisions are correctly documented.
Bid Library, Collateral & Knowledge Management
9. Maintain an up-to-date bid library to improve speed, quality and consistency of submissions.
10. Collate and manage bid collateral including:
11. Project data sheets (including site visits where required)
12. Case studies
13. Image library
14. Client quotes/feedback
15. Awards & accreditations
16. CVs and skills profiles
17. Best practice materials (regional and group-wide)
18. Prepare and publish suitable information/case studies to the Knowledge Hub.
Information Flow, Systems & Team Support
19. Monitor and triage the bid team shared inbox, responding or routing requests appropriately and professionally
20. Process Evison requests and raise contract numbers in line with internal requirements.
21. Support the Business Development Coordinator to ensure CRM data within Salesforce is accurate, complete and kept up-to-date.
22. Build effective working relationships with estimating, pre-construction, operational teams and other bid teams to ensure smooth information gathering and sharing.
23. Provide flexible administrative and production support to bid team members as required during peak periods.
Research & Market / Competitor Insight
24. Support bid development through targeted research into:
25. specific tenders and client organisations
26. projects/contract opportunities of interest
27. long-term pipelines and early-stage prospects
28. procurement developments, methods, and relevant legislation/rules
29. competitor activity and successes
30. best practice from other regions / group functions
31. Attend relevant exhibitions, conferences and training to stay current and bring insights back to the team
Key Relationships (Internal & External)
32. Internal: Head of Bids and Bid team, Business Development Coordinator, Estimating, Pre-construction, Operations/Delivery teams, Marketing/Communications, other regional bid teams.
33. External: Client portal/helpdesk contacts, framework administrators

Essential
42. Experience supporting bids and/or producing professional documentation to a high standard.
43. Strong organisation and planning skills; ability to manage multiple deadlines in parallel.
44. Excellent written communication and stakeholder engagement; confident liaising at all levels.
45. High attention to detail (formatting, consistency, proofreading, version control).
46. Strong IT capability and document production skills (e.g., advanced Word formatting and document design/production tools; including InDesign where required).
47. Proactive, collaborative approach with a can do mindset; thrives in a team environment.
Desirable
48. Experience of working with CRM systems such as Salesforce.
49. Experience monitoring tender portals / public procurement notices and managing clarifications.
50. Experience of knowledge management (case study libraries, collateral packs, image libraries).
