As a Clinical Order Management Specialist your role will be to manage activities related to the production of clinical trial labels and finished clinical supplies utilizing internal (client) and external contracted resources to meet clinical study design requirements.
Please note this is a fixed term contract ending June 2027. Working 35 hours per week, Monday to Friday with flexibility to work between 7am and 7pm.
* Create, organise and coordinate IMP shipments to clinical sites, ensuring regulatory requirements are complete as required prior to delivery to customers and ensuring accurate and timely delivery to warehouse and investigator sites.
* Act as liaison between the internal and external stakeholders (Clinical Supply Services, Clinical, Medical, Regulatory, Quality, external suppliers etc.) and serve as a central point of contact for investigational medicinal product shipments.
* Work with a range of internal and external stakeholders to troubleshoot and resolve problems, ensuring uninterrupted supply of medicines to patients and support of trial deliverables. This includes issues such as troubleshooting and coordinating resolution of IRT to SAP order failures with urgency to ensure drug availability at the site in time for patient treatment or resolving and addressing drug delivery issues ensuring accurate and timely delivery to final delivery address (BMS sites, investigator sites, 3rd party warehouses).
* Collaborate with TPA (Temperature Profile Administrator) to obtain assessment for temperature excursions and provide usage decisions to sites or warehouses in a timely manner.
* Ensure appropriate coordination and proper execution of field transfers in collaboration with Clinical teams, Clinical Supply Services teams, IRT vendors, Quality teams and transport providers.
* Manage appropriate delivery deletion and update of related systems (IRT, SAP) accordingly.
* Promptly communicate critical drug availability issues to the Clinical Order Management Specialist management team and Clinical Supply Services team.
* Responsible for coordinating deliverables of assigned orders with production schedules. Developing detailed time and event schedules, managing and tracking all activities and milestones related to assigned orders. Identifies and reports issues to appropriate levels of management in a timely manner.
* Deal with client queries and contact designated personnel, with appropriate support from onsite leadership.

Qualifications
* Experience in supply chain management.
* Proven relevant experience working in a GMP regulated industry.
* Working knowledge and understanding of MRP systems (i.e. SAP).
* Strong problem solving skills and ability to work effectively with other teams and individuals to resolve problems, schedule and prioritise work.
* Ability to work accurately to deadlines in a fast-paced, rapidly changing environment.
* Excellent communication skills, both written and oral.
* Strong interpersonal skills
* Ability to develop and share knowledge in the areas of clinical order management.
* Ability to quickly learn new processes.
* Ability to work using fully electronic media, including MS Office and SAP.
* Good attention to detail and time management skills.
* Willing to operate in a flexible manner and able to reuse both internal and external experiences and incorporate them into relevant improvements.
* Ability to switch priorities at short notice is desired.
* Good team player, organised, accurate, have strong documentation skills.
