Outpatients Assistant Administrator

The Patient Service Centre is a hard‑working team who are highly motivated and effective. As a large NHS Trust we operate Outpatient services at six sites, and we provide key services as part of the patient pathway. We work hard as a team to continually ensure that patient care is at the forefront of our service. We are a professional and diverse team with different experiences and challenges, and recognise that both professional and pastoral care for our teams is a priority.

PLEASE NOTE – WE CANNOT OFFER VISA SPONSORSHIP FOR THIS ROLE. If you hold a Graduate/Post Study work visa, you will only be able to work this role fixed term until the expiry date of your visa.


Main duties of the job

This role involves registering the GP referrals as they come in from the GP and other health care providers and booking the initial Outpatient or Radiology appointment with the patient; speaking to patients with a positive, friendly and helpful attitude. Making the first point of contact an excellent patient experience ready for when they attend for their Hospital Outpatients appointment.

Recording accurate and timely data is a vital part of this role and will support the delivery of National and Trust targets and also ensure appropriate remuneration of work undertaken in the Outpatient Department. Answering calls in a timely manner whilst remaining professional and supportive to the nature of the call, trying our best to ensure we can answer all patient queries – this could be from cancelling an appointment or rescheduling an appointment. Currently we have a variety of appointments from Face to Face attending in person at the hospital. The post holder will be required to work across many IT systems to complete tasks.

Person Specification


Skills and experience

* Able to communicate clearly and effectively, both in writing and verbally
* Able to multi‑task in a fast‑paced environment
* Ability to interact with colleagues and other stakeholders courteously
* Good interpersonal skills
* Able to work with a high level of accuracy and attention to detail at all times, specifically involving data entry
* Ability to prioritise and organise own workload to meet set deadlines
* Experience of working in a customer service environment


Qualifications and training

* Educated to GCSE level with A‑C grades in English and Maths or equivalent qualification
* NHS Experience – has gained or is willing to work towards NVQ2


Governance

* To adhere to Governance within the Trust and report as per Trust Guidelines
* Knowledge of Datix reporting


Personal/professional attributes

* Experience and/or awareness of a range of working practices in an office environment
* Experience of having been part of a team
* Adaptable to change
* Positive and can‑do attitude
* Ability to remain calm under pressure
