As our PA/Operations Administration Assistant, you’ll ensure smooth communication across departments, manage complex diaries and schedules, and provide high-level administrative support. You'll also work closely with key stakeholders, contributing to essential projects and helping shape continuous improvements across our operations.
PRIMARY DUTIES AND RESPONSIBILITIES INCLUDE:
Your Key Responsibilities:
* Be the central communication link between internal teams, managers, vendors, and customers.
* Own diary management and travel bookings for the Operations Management Team.
* Prepare and send professional emails, letters, memos, and company-standard documents.
* Compile and share daily, weekly, and monthly reports.
* Organise meetings and prepare agendas, materials, food, and beverages where required.
* Collaborate with PAs across all Covetrus business units.
* Handle confidential information with care and discretion.
* Maintain filing systems for HR and QC documentation.
* Support onboarding, interviews, and internal project packs.
* Maintain inventory of supplies (uniforms, phones, PPE, etc.).
* Track and improve holiday requests and 1-2-1 documentation processes.
* Provide general administrative support: print letters, take meeting notes, collect actions.
* Support operations metrics, signage, forms, and project tools.
* Engage in manual handling tasks within the warehouse using appropriate MHE equipment.
* Help keep workspaces immaculate by following cleaning plans.
What You’ll Need to Succeed:
* Strong written and verbal communication skills and a professional, proactive attitude.
* Excellent Microsoft Office proficiency (Excel, Word, Outlook, etc.).
* The ability to juggle priorities in a busy, deadline-driven environment with superb organisational skills.
* A positive and self-confident approach when dealing with senior members of staff.
* Exceptional attention to detail and organisation.
* Discretion when handling sensitive or confidential information.
* Confidence in managing and improving internal processes.
* The ability to be flexible with working hours and location.
This position involves working in a warehouse environment, utilising typical warehouse equipment, and occasionally lifting and operating machinery.
