Executive Assistant – Board Level
Location: West End, London
Salary: £70,000–£75,000 + bonus and benefits
Working Pattern: Hybrid – 3 days in the office, with flexibility required during busy periods
An international investment firm is seeking a highly organised and proactive Executive Assistant to support senior stakeholders across the Secretariat and Investor Relations teams.
This is a varied and high-profile role involving complex diary management, Board and Committee coordination, investor relations support, international travel arrangements, preparation of presentations and meeting materials, and liaison with senior executives, shareholders, and Non-Executive Directors.
The successful candidate will have proven experience supporting senior executives within a fast-paced corporate environment, exceptional organisational and communication skills, and the ability to manage confidential information with discretion. Experience supporting Board administration and Investor Relations activities would be advantageous. Candidates with experience working within a listed company and a strong understanding of PLC governance will be particularly well suited to this opportunity.
Key Responsibilities
* Provide day-to-day administrative and operational support to the Secretariat and Investor Relations teams.
* Manage complex calendars, meetings, appointments, and international travel arrangements.
* Act as a key liaison between internal teams, shareholders, investors, Board members, and external stakeholders.
* Maintain and update investor relations databases, contact records, and meeting notes.
* Coordinate Board and Committee meetings, including agenda preparation, collation of papers, and timely distribution of materials.
* Manage the upload, organisation, and administration of Board documentation through Boardvantage.
* Support Board meetings, shareholder meetings, and wider corporate governance activities.
* Coordinate investor roadshows and assist with associated logistics and scheduling.
* Work closely with Executive Assistants and wider support teams on Board and investor-related activities.
* Serve as a primary point of contact for Non-Executive Directors, including travel coordination and expense management.
Candidate Profile
* Significant experience supporting senior executives in a corporate environment.
* Previous exposure to Board-level support and governance processes.
* Strong organisational skills with excellent attention to detail.
* Outstanding communication and stakeholder management abilities.
* Ability to handle highly confidential information with professionalism and discretion.
* Experience within Investor Relations, Company Secretariat, Financial Services, or a listed PLC environment is highly desirable.
* Proficiency in Microsoft Office and Board portal systems such as Boardvantage.
