Operations Support Manager
VetPartners Limited, York (Hybrid)
We are looking for an experienced and organised Operations Support Manager to support the Head of Department and lead our Operations Support team. This pivotal role ensures that our practices and veterinary businesses receive the support they need to focus on what truly matters - delivering outstanding care to patients and clients.
A little bit about us:
Led by Vets, VetPartners already form a very significant share of the UK veterinary market, across equine, farm and small animal practices and veterinary businesses. Our mission is to deliver outstanding care for our patients and clients and be the veterinary group of choice. VetPartners encourages independent spirit; while supporting the investment in people, facilities, and latest technology so we can provide an excellent service.
About the role:
You will oversee multiple operational areas - including utilities, fleet, business services (such as waste management), internal communications, insurance, and stock - ensuring these essential functions run efficiently and effectively, plus managing supplier relationships to ensure SLAs are met. You will line manage the Operations Support Leads, guide their development, and ensure consistent service delivery across the organisation, along with identifying opportunities for the team to add further value to VetPartners.
A key part of this role is driving effective internal communications, ensuring that important messages are delivered clearly, through the right channels, and in a way that engages and connects colleagues across all areas of the business. Which includes also proactively working with all functions within the Central Support team, promoting cross-function collaboration, and building positive relationships with all internal and external stakeholders.
Key Responsibilities:
* Support the Head of Integration and Operations Support with day-to-day activities for the Operations Support team.
* Line management of the Operations Support Leads, fostering a culture of accountability, collaboration, and continuous improvement.
* Delegation of work to the team, monitoring outputs and providing support/solutions to assist the team when queries or challenges arise.
* Conducting 1-2-1s and PDRs, identifying and providing development opportunities to team members, and delivering coaching and mentoring where required.
* Set clear goals and develop strategic aims and objectives for the Operations Support department, aligning with the wider aims of the company and stakeholders and in collaboration with Head of Department.
* Promote a practice/business/people focused approach to all work undertaken by team members.
* Take ownership of internal communications, using appropriate channels to ensure clear, timely, and engaging messaging that supports understanding and alignment with the companies guiding principles.
* Develop and implement communication frameworks that promote transparency and connection between central support and the wider organisation, using a clear understanding of communication styles.
* Identify opportunities for the Operations Support team to add value to VetPartners and its practices and other businesses.
* Review and refine standard operating procedures (SOPs) to promote consistency and efficiency across operational areas.
* Confident managing supplier relationships, monitoring performance against agreed SLAs and holding suppliers accountable.
* Project management of a variety of Ops Support strategic objectives, as well as leading/supporting on other departmental BAU projects.
* Prepare and provide project updates and deliver into senior leaders as required.
* Create an inspiring team environment with an open communication culture, initiating and encouraging opportunities for team engagement, reward and recognition, and ensuring the continuation of the high-performing reputation of the Ops Support team.
About you
You will be an inspiring, transformational and motivational leader, with demonstrative experience of effectively managing and mentoring a team in a fast paced, changing environment, ideally holding (or willing to work towards) a management qualification with the CMI/ILM or similar professional body. You must be a very enthusiastic and approachable person, with a positive attitude, and a "Can-do" approach to resolving issues and problems. You will need to be able to organise and prioritise you and your team's workloads to achieve deadlines and objectives. You must have excellent communication, proven leadership skills, and ability to influence senior stakeholders. A strong working knowledge of Microsoft Office and previous project management experience would also lend to the role.
