Timesheet AdministratorLocation: North BristolJob Type: Full-time (On-site)
An established, family-run business within the construction sector is seeking a Timesheet Administrator to support its operational teams. This role involves a blend of administrative and accountancy-related tasks, helping ensure accuracy, efficiency, and smooth day-to-day running across the business.
Key Responsibilities
* Monitor IT-related invoices and resolve queries promptly with suppliers and internal accounts teams.
* Chase credit notes and process Goods Received Notes (GRNs) for materials and equipment.
* Work closely with operational and commercial teams to verify and allocate costs accurately.
* Maintain and update the subcontractor register.
* Reconcile fuel card statements and carry out weekly checks for any unusual or fraudulent activity.
* Coordinate tool and equipment requirements for new starters and contract renewals, including repairs and replacements as needed.
* Track the movement of plant and equipment across sites, maintaining internal tracking systems and updating records for new starters and leavers.
* Support the development and improvement of asset-tracking processes and provide training to site teams on system use.
* Review and approve overhead invoices and support credit card tracking and cost analysis.
* Process weekly timesheets, liaise with HR and payroll teams, and complete monthly overtime procedures.
* Monitor and process vehicle fines, ensuring accurate cost recovery from employees.
* Carry out general office duties and ad-hoc cost-related tasks as required.
Skills & Experience
* Previous administration experience, ideally within a construction, engineering, or similar operational environment.
* Strong IT skills, confident using Microsoft Excel, Word, and PowerPoint.
* Clear and professional communication skills, including a confident telephone manner.
* Minimum of 4 GCSEs (or equivalent), including English and Maths.
* Ability to multitask, use initiative, and handle confidential information appropriately.
* A proactive, enthusiastic, and self-motivated approach, with the ability to work both independently and within a team.
