We are seeking a dedicated and motivated Admin Coordinator to join our dynamic Integrated Community Care Directorate. This is an exciting opportunity for individuals with administration experience to support the Service within Active Recovery, to provide excellent customer care to our patients and their carers and contribute to the continuous improvement of the Directorate’s administrative service.

The ideal candidate will bring a flexible and adaptable approach to their work, as the role may involve a variety of tasks to support the smooth operation of our department. While previous experience in a hospital or healthcare environment is desirable, it is not essential, as full training and support will be provided to the right candidate.

This position offers the chance to work in a fast‑paced and rewarding setting, where you will play a key role in ensuring the efficient delivery of services within the Integrated Community Care Directorate. If you are a proactive individual with strong organisational skills, a positive attitude, and a commitment to providing excellent administrative support, we would love to hear from you.

Main duties of the job

* Lead & Manage: line‑manage admin teams, oversee staff development, and foster a collaborative environment.
* Analyse & Report: monitor service performance, generate reports, and ensure deadlines and data policies are met.
* Optimise Operations: streamline processes, manage office resources, and provide crucial administrative support.
* Ensure Governance: uphold strict confidentiality and data protection standards across all tasks.
* Liaise & Support: act as a key contact for stakeholders and deliver high‑quality service to patients and staff.

Person Specification


Qualifications

* GCSE (or equivalent experience/Qualifications) in English and Mathematics, at grade C/4 or above.
* NVQ Level 3 in Business Administration or equivalent experience.
* European Computer Driving Licence/RSA/ICR III or equivalent.


Experience

* Understanding of administrative processes and procedures.
* Basic understanding of patient access policies.
* Evidence of Managing/leading people/staff.
* Experience of working with data and/or databases.
* Experience of initiating and setting up monitoring systems to record appropriate information.
* Significant experience of working in the NHS or other large, complex organisation.
* Experience of working within a healthcare setting.


Knowledge

* Knowledge of / experience of using information and/or customer service systems.
* Working knowledge of Microsoft Office packages including Outlook, Excel, and Word.
* High level of Customer Care/Service skills demonstrated by course or experience.
* Previous experience of Patient Systems: SystmOne (area specific software).


Skills

* Experience of managing staff.
* Experience of working to and meeting multiple tight deadlines.
* Experience of proactive involvement in service development/improvement.
* Ability to motivate influence, and direct across all grades and disciplines of staff.
* Excellent communication skills, with ability to deal with staff at all levels.
* Ability to work as part of a team, and also independently on own initiative.
* Ability to prioritise own workload.
* Effective interpersonal and negotiation skills.
* Displays use of initiative with effective organisational skill.
* Ability to prioritise and work to strict/conflicting deadlines.
* On‑going commitment to personal development.
* Understanding of data protection issues and the ability to maintain confidentiality.
