Clinical Office Coordinator, Colorectal Surgery
Responsibilities include:
* liaising with the Patient Pathway Team to coordinate all elements of the patient pathway and ensure timely investigations/diagnostics.
* coordinating outpatient clinic bookings, ensuring follow‑up appointments are scheduled promptly, and monitoring patients transferred to other trusts to stay within 18‑week targets.
* highlighting potential breaches or delays to the Team Leader, Patient Pathway Team or Service Manager according to the Trust’s escalation policy.
* handling patient communication (bookings, cancellations, rebookings), sending appointment letters and updating records in Surrey Safe Care (Cerner).
* monitoring clinic over‑booking, arranging additional clinics with clinicians and Service Managers to meet 18‑week and cancer targets.
* managing changes to clinic templates, attending regular team meetings, and responding to patient queries via telephone, letter, and email.
* providing fast, accurate clinical correspondence and secretarial support using appropriate software systems.
* implementing new working systems such as the outsourced transcription service, e‑correspondence, electronic storage, discharge summary systems, and shared drives.
* maintaining patient confidentiality, exercising independent judgement to resolve problems, and collaborating with team members.
* supporting staff training, participating in Trust training courses, and completing mandatory training as required.
* carrying out additional duties as necessary within the scope of the role.
