The role of Administration Officer will include:
1. Providing daily administration support to Responsive teams, Void teams and Consultancy services
2. Proactively creating and maintaining Excel documents with business information
3. Organising and coordinating travel, accommodation, training events and team meetings when required
4. Managing the shared mailbox and responding to complaints ensuring they are dealt with appropriately
5. Answering maintenance related phone and email enquires
6. Managing orders for work wear, PPE and stationery
7. Supporting with HR meetings, contractor framework meetings, taking minutes and the recruitment of new staff
8. Maintaining effective electronic and paper filing systems, administration and updating Toolbox Talks
9. Raising purchase orders and further checking and modifying information in SAP systems
10. Monitoring performance with use of BI Systems and preparing reports for the regulator
Skills and experiences:
11. Previous experience undertaking a similar role within a facilities or estates environment would be desirable
12. Proven experience of working to deadlines and prioritising workloads
13. Demonstrable experience of producing and analysing data
14. Ability to work independently and use own initiative
15. Strong communication and interpersonal skills
16. Proficient user of Microsoft Office packages, including Word, Outlook, Excel and Teams
