Description We are formalising our project management practices and creating a Project Management Office (PMO). The PMO function is being designed currently, and is something that will require ongoing build, nurture, inspiration, and effort for the purpose of creating great customer experiences from our brilliantly managed projects. The Project Management Officers role at Total IT is to: Build and promote a framework for project excellence within the PMO Engage with customers and the delivery teams by coordinating, supporting and executing project plans to ensure compliance to the standards set by the PMO, in the way designed and intended by the PMO to create the best of experiences for all stakeholders Ensure all projects are formed well, ke p t up to date, clients are always informed, 3 rd parties are informed and booked onto site when required. Build and develop ways of working to create and nurture a great customer, colleague and Total IT business experience from our PMO Responsibilities Project and Resource Planning Sales to delivery handover. Develop with the delivery teams Project and Resourcing Plans to communicate with the customers. Organisation Oversee Pre-Survey and Pre- Workshop Calls, Project Kick Off Calls and Project Pulse Calls with all the relevant stakeholders internally and externally ensuring these happen and everyones roles are understood. Liaise with Total IT Finance Director on dates for Milestone Delivery and Invoicing KPIs. Project Planning and Coordination Pulse Calls Review the results of Project Pulse Call s, reviewing notes, r ecording risks, actions, issues and decisions to follow up on. Ensure project team member utilisation is at 85% or greater. Project Compliance and Quality Control Ensure the statement of work is agreed by both parties before work commences. Review and add to CRM the Work Acceptance Form collected from the Customer when each Project or Milestone is complete by our Project Managers and PMO Coordinators. Spot check quality control at various stages throughout the project lifecycle. Project Office Design, Creation and Rollout Take ownership of the Project Office, designing project processes, templates and ways of working to create an unrivalled customer experience and improve project consistency and coherence. Support the creation and development of the Project Office tools, process and templates. Manage and promote change across the business, rolling out updates to the Project Office. Drive initiatives to support the PMO and Project Delivery Take initiative to establish focus groups to build on ideas for the development of tools, processes and templates to support the development of the PMO. Actively involve the PMO in all project and solution focus groups across the business that are related to project delivery and affect the PMO. Results / Measures Every project is successfully marked as The Perfect Project: Signed Statement of Works and Purchase Order Survey results verified Signed Data Asset Form (where appropriate) Kick-off call completed with documented follow-up Pulse Calls arranged, completed, and followed up All detail recorded in Halo PSA and SharePoint Performance Metrics: Project compliance: Zero major compliance breaches per quarter Project efficiency: 95% of projects delivered on time and within budget Customer satisfaction: 90% client satisfaction scores across projects Internal feedback: Positive colleague and business feedback on PMO effectiveness Responsible for (Budget / People) Oversight of 75 active projects Reporting on all Project Budgets 6 Direct Reports including 3 PMO Coordinators, 1 Project Manager, 1 PMO Technical Engineer and 1 Field Engineer.
