Job Purpose: As an Assisted Living Leeds Service Co‑ordinator you will support the day‑to‑day management of services operating from Assisted Living Leeds, coordinate front‑of‑house provision, ensure a safe working environment and provide support to Senior Development Managers (SDMs) and Operational Managers.


Key Responsibilities

* Coordinate front‑of‑house provision and maintain a safe working environment.
* Provide support to the Head of Service, SDMs and Operational Managers.
* Serve as reception, presenting a positive image and contributing to a welcoming environment for colleagues, partners, customers and visitors.
* Work effectively as part of a team and demonstrate organisational and time‑management skills, prioritising own and team work to meet conflicting deadlines.
* Resolve customer queries, including complex nature, and maintain professional contact.
* Act as liaison between managers and staff to ensure effective delivery of services.
* Handle confidential information that may be distressing.
* Maintain effective relationships with colleagues, partners, agencies, customers and the public.
* Attend relevant meetings and take minutes when required.
* Develop working relationships with external agencies and stakeholders.
* Undertake First Aid at Work training.
* Monitor activities in accordance with approved procedures and adhere to financial regulations, ensuring effective spending of budgeted sums.
* Maintain manual and digital records, accurately input, collate and process sensitive and secure data in line with GDPR.
* Manage staff: supervise, appraise, give guidance, support, and manage recruitment of administrative staff.
* Administrate payroll, liaising with HR Advisory and BSC teams.
* Hold regular team meetings and lead recruitment and induction activities.
* Manage administrative procedures: complete and submit forms and returns, develop and maintain recording and information systems, produce management information from databases and spreadsheets.
* Manage referrals for minor works requests for Adults & Health assessors, room booking, fault reporting to property maintenance and follow‑up repairs.
* Handle enquiries from the Assisted Living Leeds email account.
* Remain flexible and adaptable to assist other services as required.
* Participate in appraisal, training and development activities to keep knowledge and skills up to date.
* Improve own practice through observation, evaluation, and discussion with colleagues.
* Collaborate with colleagues, seeking help and advice when needed.
* Contribute to the service ethos by attending training days and relevant meetings.
* Comply with Leeds City Council policies and procedures, including child protection, health, safety, security, confidentiality and data protection, reporting all concerns to appropriate persons.

Health & Safety

* Take reasonable care of own health and safety, avoiding putting others at risk.
* Co‑operate with LCC and local requirements, following health and safety policies and procedures.
* Attend all required training on health and safety related policies and procedures.
* Do not mis‑use any provided equipment.
* Report and record any injuries, strains or illnesses suffered as a result of doing your job.
* Inform manager if something happens that might affect ability to work safely, such as a new medical condition.


Key Competencies & Attributes

* Well‑developed interpersonal and communication skills, able to work with a range of audiences.
* Ability to prioritise workload and conflicting demands.
* Ability to support Administration and senior managers within the service, both LCC and NHS staff.


Qualifications

* Demonstrated numeracy and literacy skills.
* Desirable to hold NVQ Level 3 or equivalent.


Knowledge Required

* Awareness of the range of customers likely to use the Assisted Living Leeds Service.
* Requirement to maintain confidentiality.
* Knowledge of health and safety regulations.
* Knowledge of general office procedures and practice.
* Knowledge of relevant financial regulations for carrying out financial transactions.
* NVQ Level 3 or equivalent.


Experience Required

* Computer literacy, including experience with Microsoft Office packages.
* Experience providing excellent customer‑focused services.
* Experience working with performance targets and customer standards.
* Experience producing and disseminating information.
* Experience dealing with complex queries from a wide range of people.
* Experience working in partnership with others to deliver work to deadlines.
* Experience providing management, motivation and direction of staff.
* Experience using initiative to develop solutions to issues and problems.
